Job Description

Position Summary

All Pro Security is seeking a motivated and organized Recruiter / HR Onboarding Specialist to join our Human Resources team in Portland, Oregon. This position is responsible for managing the full-cycle recruitment process for security personnel and ensuring a seamless onboarding experience for new employees. The ideal candidate is highly organized, customer-service oriented, and thrives in a fast-paced environment where priorities can change quickly.

This role plays a critical part in maintaining staffing levels across Oregon while ensuring compliance with company policies, employment laws, and industry regulations.

Essential Duties and ResponsibilitiesRecruitment & Hiring
  • Manage the full-cycle recruiting process for security officer and operational positions.
  • Review applications, conduct initial applicant screenings, and evaluate candidates for minimum qualifications.
  • Schedule interviews with hiring managers and operational leadership.
  • Maintain recruitment pipelines using the company's Applicant Tracking System (ATS).
  • Communicate professionally with applicants throughout the hiring process.
  • Attend hiring events, job fairs, and community recruiting opportunities as needed.
  • Develop recruiting strategies to meet staffing goals in the Portland metro area and surrounding markets.
Onboarding & New Hire Administration
  • Coordinate new hire orientations and onboarding appointments.
  • Distribute, monitor, and track all required hiring documents, including background authorization forms and employment paperwork.
  • Ensure timely completion of background checks, employment verification, licensing documentation, and other pre-employment requirements.
  • Prepare employee files and accurately enter new hire information into HRIS and payroll systems.
  • Ensure all onboarding documentation is complete and compliant prior to employees beginning work.
  • Coordinate with Operations to ensure new employees receive uniforms, equipment, and required training.
HR Administration
  • Conduct general background checks in accordance with company policy and applicable laws.
  • Scan, organize, and maintain confidential personnel records within the HR database.
  • Track employee evaluations and follow up with supervisors to ensure timely completion.
  • Monitor Dispatch and Field Supervisor reports to accurately document employee commendations, coaching, policy violations, and disciplinary actions.
  • Assist employees with general HR questions regarding employment, onboarding, policies, and benefits by directing them to the appropriate resources.
  • Maintain strict confidentiality of employee and company information.
  • Assist with HR projects, audits, reporting, and administrative functions as assigned.
QualificationsRequired Education & Experience
  • High school diploma or GED required.
  • One (1) year of experience in recruiting, human resources, customer service, staffing, or administrative support preferred.
  • Experience in high-volume recruiting is strongly preferred.
  • Experience using Applicant Tracking Systems (ATS), HRIS, or payroll software is preferred.
  • Security industry, staffing agency, or multi-site recruiting experience is a plus.
Knowledge, Skills & Abilities
  • Excellent verbal and written communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Professional and customer-focused demeanor.
  • Ability to build positive working relationships with employees, applicants, and management.
  • Strong computer proficiency, including Microsoft Office Suite and web-based software.
  • Ability to learn HRIS, recruiting, scheduling, and payroll systems.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Strong problem-solving and time management skills.
  • Ability to work independently while collaborating effectively with a team.
Physical Requirements
  • Ability to sit for extended periods while performing computer-based work.
  • Occasional standing, walking, bending, stooping, and lifting up to 20 pounds.
  • Frequent use of computers, phones, and other office equipment.
Work Environment
  • Primarily office-based in Portland, Oregon.
  • Fast-paced environment with frequent interruptions and changing priorities.
  • Regular interaction with applicants, employees, supervisors, and operational leadership.
  • Occasional travel to hiring events, branch locations, or job fairs may be required.
Preferred Qualifications
  • Experience recruiting hourly employees in a high-volume environment.
  • Knowledge of Oregon employment laws and hiring practices.
  • Familiarity with ADP Workforce Now or similar HRIS/payroll systems.
  • Experience coordinating employee onboarding and compliance documentation.
  • Bilingual (English/Spanish) is a plus.
