JP Tank, Inc. is seeking a highly organized and detail-oriented Construction Project Controls & Estimating Coordinator to support our estimating and operations teams. This role plays a critical part in the success of our projects by converting estimates into proposals, setting up project budgets, maintaining job costing systems, and tracking financial and production performance throughout the lifecycle of each project.
Working directly with the company President and estimator, this position serves as the administrative and financial control center for construction projects. The ideal candidate thrives in a fast-paced construction environment, has strong attention to detail with numbers and documentation, and is motivated to grow into a future construction estimating or project management role.

Key Responsibilities- Proposal & Bid Administration
Convert completed estimates into professional customer proposals.
Review estimate scope and inclusions with the estimator.
Format proposal documents using company templates.
Submit proposals to customers and track proposal status.
Maintain bid logs and the company bid pipeline tracking system.
Assist the estimator with bid documentation and organization.
- Project Setup & Budget Creation
Set up newly awarded projects in Intuit Enterprise Suite.
Create cost-coded project budgets aligned with estimates.
Enter labor, equipment, and material budgets.
Ensure estimate structures align with job cost tracking systems.
Create and organize digital project documentation and file structures.
Complete job setup checklists including contract details, wage requirements, and project information.
- Project Controls & Job Cost Tracking
Track project budgets versus actual performance.
Maintain job cost reports and financial tracking systems.
Monitor labor hours and production data.
Track key project performance indicators (KPIs).
Identify potential cost overruns early.
Support weekly project performance reporting and forecasting.
- Vendor Invoice Coding & Job Cost Entry
Review and code vendor invoices to appropriate job cost codes.
Ensure invoices are entered accurately into the accounting system.
Verify invoices align with project budgets and cost categories.
Support accounting with accurate job costing records.
- Change Order Management
Track potential scope changes across active projects.
Maintain change order logs.
Prepare and submit change order documentation.
Coordinate scope changes with field staff.
Track approved versus pending change orders.
- Document Control
Maintain organized digital project files.
Manage drawing revisions and plan distribution.
Maintain submittal logs and shop drawing records.
Prepare Requests for Information (RFIs) when required.
Ensure field teams always have access to current project documentation.
- Production & KPI Tracking
- Collect production data from field staff including:
Square feet of formwork installed
Tons of rebar installed
Cubic yards of concrete poured
Labor hours per production activity
Maintain KPI dashboards for project performance tracking.
Assist with weekly project performance reporting.

- Apprentice Labor Tracking
Monitor apprentice hours for compliance and reporting.
Ensure apprentice labor hours are correctly recorded in the job cost system.
Coordinate with field staff regarding apprentice labor requirements.
- Job Forecasting & Post-Project Analysis
Assist with real-time job forecasting based on production data.
Track project progress against production targets.
Identify potential financial risks early in long-duration projects.
Assist with post-project job cost analysis.
Compare estimate vs. actual performance to improve future estimating accuracy.
Strong organizational and time management skills.
High attention to detail, particularly with numbers and documentation.
Comfortable working with spreadsheets, budgets, and financial data.
Strong written communication skills.
Ability to manage multiple projects and documentation systems simultaneously.
Ability to work in a fast-paced construction environment.
- Preferred Qualifications
Experience in the construction industry.
Project coordination or estimating support experience.
Familiarity with construction accounting or job costing systems.
Ability to read and interpret construction drawings.
Experience using Excel, construction software, or accounting programs.
