Job Description
The Property Operations & Facilities Supervisor is responsible for the year-round operation, maintenance, safety, and appearance of a large condominium community. This position oversees seasonal operations, vendor management, grounds maintenance, emergency response, pool operations, snow removal, and enforcement of community standards while serving as the primary on-site liaison between residents, contractors, local municipal departments, and community management.
This is a highly visible, hands-on leadership position requiring strong organizational skills, sound judgment, excellent customer service, and the ability to respond to emergencies on a 24-hour on-call basis.
Essential Responsibilities:
Winter Operations
· Plan, organize, and supervise all snow and ice management operations.
· Install snow stakes and prepare the property for winter weather.
· Set up and maintain ice melt and sand stations throughout the property.
· Order, receive, inventory, and distribute snow removal materials and equipment.
· Purchase fuel and maintain snow removal equipment including snow blowers.
· Perform preventative maintenance and minor repairs on snow removal equipment.
· Coordinate snow removal operations with contracted snowplow vendors.
· Supervise shovel crews and direct heavy equipment operations, including plow trucks, loaders, and skid steers.
· Coordinate vehicle movement with residents to facilitate efficient snow removal.
· Monitor property conditions during and after storms to ensure sidewalks, entrances, stairs, and common areas remain safe.
· Apply and monitor ice control measures throughout thawing and refreezing conditions.
· Respond immediately to residents’ safety concerns involving snow and ice.
· Track contractor and labor hours for snow removal operations.
· Coordinate Christmas tree collection and municipal pickup.
Pool Operations (Spring, Summer & Fall):
· Maintain current Certified Pool Operator (CPO) certification.
· Serve as liaison with the local Board of Health regarding pool operations.
· Open and close community pool each season.
· Maintain pool equipment, pumps, filtration systems, and water chemistry.
· Conduct and document required water quality testing.
· Ensure compliance with all applicable health and safety regulations.
· Monitor pool operations and support lifeguards in maintaining a safe environment.
· Maintain inventory of chemicals, safety equipment, and first aid supplies.
· Distribute pool passes and monitor guest registration procedures.
· Perform repairs and maintenance to pool facilities and restrooms.
· Clean, power wash, and maintain pool deck, furniture, fencing, and surrounding amenities.
· Monitor pool operations and respond to issues as necessary.
Grounds & Exterior Maintenance:
· Supervise landscaping contractors and seasonal improvement projects.
· Direct plantings and monitor the health of turf, shrubs, trees, and landscape beds.
· Monitor irrigation systems and perform minor repairs and programming adjustments.
· Coordinate irrigation contractor service when necessary.
· Repair damaged turf through seeding, fertilizing, and sod replacement.
· Perform pruning and landscape touch-ups as needed.
· Install and maintain shutters, fencing, railings, and other exterior features.
· Perform power washing of buildings, fences, sidewalks, and common areas.
· Supervise exterior capital improvement projects including painting, fencing, sheds, paving, and infrastructure improvements.
· Perform miscellaneous painting and concrete repairs.
Property Maintenance & Operations:
· Conduct daily inspections of the community for cleanliness, safety, and maintenance concerns.
· Remove litter and debris from common areas.
· Monitor recycling facilities and dumpsters for proper usage.
· Coordinate disposal of prohibited waste materials.
· Perform minor repairs involving lighting, plumbing, doors, fencing, drainage systems, concrete, and common area facilities.
· Replace lighting and monitor exterior lighting systems.
· Vacuum and clean common building areas.
· Clean drains and maintain recycling facilities.
· Pick up dog waste throughout the community.
· Remove minor pest infestations including wasp nests and dispose of deceased animals when necessary.
· Assist with shed inspections, replacements, and coordination with homeowners.
Resident Services:
· Respond promptly to resident maintenance requests and concerns.
· Process parking permit requests.
· Distribute community notices and correspondence.
· Coordinate access for water shutoffs and maintenance within occupied units.
· Respond to resident emergencies including:
o Water leaks
o Lockouts
o Heating failures
o Flooding
o Electrical concerns
o Security issues
· Coordinate repairs with contractors and municipal departments.
· Maintain positive working relationships with residents, homeowners, tenants, and guests.
Vendor & Contractor Management:
· Supervise contractors performing work throughout the property.
· Inspect completed work to ensure quality and compliance.
· Coordinate utility work with municipal departments.
· Oversee owner improvement projects including window and door replacements.
· Direct vendors regarding proper disposal procedures and site expectations.
· Maintain accurate records of contractor performance and work completed.
Community Compliance:
· Maintain working knowledge of condominium governing documents, rules, and regulations.
· Monitor community compliance and report violations to management.
· Monitor parking areas for unauthorized vehicles and parking violations.
· Ensure compliance with guest parking regulations.
· Monitor move-ins and rental occupancy to ensure community documentation requirements are met.
· Report unregistered pets and other community concerns to management.
· Maintain security awareness throughout the property and report suspicious or unsafe conditions.
Administrative Responsibilities:
· Check and respond to voicemail and service requests daily.
· Maintain inspection logs and maintenance records.
· Maintain required pool documentation and compliance records.
· Attend monthly Board of Trustees meetings.
· Assist management with community communications and operational reporting.
· Coordinate purchasing and supply inventory.
Qualifications:
· High school diploma or GED required.
· Minimum 5 years of property maintenance, facilities management, condominium management, or related experience preferred.
· Previous supervisory experience strongly preferred.
· Certified Pool Operator (CPO) certification required or ability to obtain upon hire.
· Valid driver's license with acceptable driving record.
· Experience supervising contractors and vendors.
· Working knowledge of plumbing, electrical, irrigation, landscaping, carpentry, and general building maintenance.
· Experience operating snow removal equipment is highly desirable.
· Ability to read and interpret maintenance manuals, safety regulations, and governing documents.

Physical Requirements:
· Frequently lift, push, and pull up to 75 pounds.
· Work outdoors year-round in varying weather conditions.
· Walk, climb stairs, kneel, crouch, bend, and stand for extended periods.
· Operate power tools, maintenance equipment, and snow removal equipment safely.
· Respond to emergencies outside of normal business hours.
Work Schedule:
This position generally follows a daytime work schedule; however, flexibility is required based on operational needs.
The Property Operations & Facilities Supervisor serves as an essential employee and participates in a 24-hour on-call rotation for emergencies, including severe weather events, utility failures, and resident emergencies. Evening, weekend, holiday, and overnight work is required during snowstorms and other emergency situations.
Preferred Experience:
Experience in condominium, homeowners association (HOA), apartment, campus, municipal, commercial property, or facilities management environments is highly desirable.

· On-site living in a Condo unit owned by the association. Employee to sign off on agreement prior to taking occupancy. Employee is not expected to pay condo fees or rent, but is required to pay utilities.
