Job Description

TITLE: Billing and Service Coordinator FLSA STATUS: Exempt

DEPARTMENT: Service

GENERAL SUMMARY:

Provide billing, admin, and dispatch support to the service department with the express purpose of maximizing the effectiveness of business processes that promote the organization’s strategic objectives.

CORPORATE PHILOSOPHY STATEMENT:

ESSENTIAL FUNCTIONS:

  • Calculate costs for services and parts as needed to create itemized statements, bills, invoices, and other billing documents, including calculation of credit terms, shipping charges, discounts, and costs of services.
  • Match and file paperwork, and resolve billing discrepancies as needed.
  • Contact customers to obtain, verify, and update account information when necessary.
  • Assist technicians as needed.
  • Assist with dispatching duties as needed.
  • Act as liaison between customers, vendors, and service technicians.
  • Assist with quote preparations as needed.
  • Back up other inside team members when needed.
  • Maintain customer and vendor files (electronic and paper).
  • Facilitate the transfer of information from our suppliers to the end-user and/or company personnel
  • Maintain a clean work area and follow all safety practices of the organization when completing work assignments.
  • MARGINAL FUNCTIONS:

    • Other duties as assigned.

    MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Associate's degree in Accounting or related field or 2 years of related office experience.
  • Ability to collaborate with customers, consultants, vendors, and engineers.
  • Excellent communication and strong phone skills.
  • Excellent organization and attention to detail.
  • Proficient in Microsoft Office, especially Word and Excel.
  • Basic math skills.
  • Strong typing skills.
  • Must be able to read, write, and speak fluent English.
  • PHYSICAL DEMAND REQUIREMENTS:

    While performing the duties of this job, the associate is frequently required to talk and hear. The employee frequently is required to sit; walk; use hands to finger, handle, or feel; and reach with hands and arms. The associate is occasionally required to stand. The associate may occasionally be asked to lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus.

    (Constant = 67-100% of workday, Frequent = 34-66% of workday, Occasional = 33% or less of workday)

    VISUAL ACUITY REQUIREMENTS:

    Work involves the use of a computer terminal, preparing data, and extensive reading.

    INTELLECTUAL/EMOTIONAL REQUIREMENTS:

  • Adaptability to make generalizations, evaluations, or decisions based on measurable or verifiable criteria and sensory or judgmental criteria.
  • Adaptability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure.
  • Ability to maintain both a high standard of courtesy and cooperation in dealing with co-workers, customers, vendors, and visitors.
  • Ability to absorb and retain new information.
  • EQUIPMENT/TOOLS:

    Standard office equipment found in the assigned department.

    WORKING CONDITIONS:

    While performing the duties of this job, the associate is exposed to normal office working conditions that are climate controlled. The associate would typically not be exposed to extreme heat, cold, or other workplace hazards. The noise level in the work environment is usually low.

    REPORTING RELATIONSHIPS:

    Reports to the Service Manager.
