Job Description
The Accounting Specialist performs a wide variety of support functions as an integral part of the finance team. These functions include regularly scheduled responsibilities and statewide support of accounting and banking responsibilities.
Key Accountabilities:
- Actively participate in one-on-one and staff meetings, alert management when issues arise that prevent meeting deadlines and goals and provide information and assistance to management in identifying ways to continuously improve work processes. Work cross-functionally and collaboratively in a positive and supportive manner.
- Coordinate between Accounting Department, Troop Support Department, volunteers, and banks for statewide troop bank accounts. Responsible for being the go-to person with account set up, council transactions, maintenance, troubleshooting, and closing accounts. Manages troop bank account reporting.
- Assist Product Program Department with paperwork, reporting, and cash handling duties. Coordinate between Accounting Department, Product Program Department, and volunteers with financial transactions.
- Accounts Receivable Duties
- Manage Financial Assistance process.
- Manage the Cash Receipts process.
- Be the Wells Fargo Program Administrator.
- Understand and complete assigned month-end responsibilities and work papers by established schedule.
- Manage the Unclaimed Property process.
- Understand and complete assigned year-end responsibilities.
· High school diploma
· 3–5+ years of experience in accounting, accounts receivable, or financial operations
· Experience working in nonprofit or program-driven environments preferred
· Strong knowledge of general accounting principles (GAAP)
· Experience with: General ledger systems (e.g., Abila, or similar), Bank account reconciliation and financial reporting, Accounts receivable and collections processes
· Experience handling: Cash receipts and deposits, ACH transactions and payment processing, Financial audits and account reviews
· Excel (intermediate to advanced: formulas, reconciliation, reporting)
· Experience managing: Bank accounts (setup, maintenance, reconciliation, and closure), Financial assistance programs and approvals, Month-end and year-end close processes
· Strong data management and reporting skills
· Strong interpersonal skills with the ability to support staff, volunteers, and external stakeholders
· Excellent written and verbal communication skills
· Ability to handle sensitive financial situations professionally
· Exceptional attention to detail and accuracy
· Ability to manage multiple priorities, deadlines, and high-volume periods
· Strong organizational skills for maintaining records (electronic and physical)
· Ability to contribute in meetings, provide feedback, and support organizational goals
· Positive, team-oriented attitude with a willingness to assist others
· Current or former Girl Scout member, or willingness to become a registered Girl Scout member
· Ability to successfully pass required background check and comply with all organizational screening requirements
· Commitment to the mission, values, and standards of the Girl Scout organization
