Job Description

Position Description:

As an Administrative Assistant supporting Medical Services, you’ll play an important role in helping ensure individuals served receive the medical care they need. You’ll coordinate and schedule offsite medical appointments, review provider orders and referrals, track services and follow-up, and work closely with internal teams and outside healthcare providers. This role is ideal for a highly organized, detail-oriented professional who enjoys coordinating moving parts and ensuring appointments, services, and documentation are handled accurately and timely.

What You’ll Do

  • Coordinate and schedule offsite medical appointments and services for individuals served based on provider orders and referrals.
  • Review provider orders and referral information to ensure appointments are scheduled accurately and timely.
  • Enter, update, and monitor referrals and appointment information in applicable systems.
  • Maintain accurate and current consult, referral, and transportation/trip logs.
  • Coordinate with outside medical providers, internal clinical teams, transportation services, and other stakeholders to facilitate offsite appointments.
  • Track scheduled appointments and follow up on referrals, services, or documentation that remain outstanding.
  • Ensure appointment information, provider information, dates, times, and related records remain accurate and up to date.
  • Maintain appropriate documentation and ensure accurate accounting of disclosures when Protected Health Information (PHI) is shared with outside entities.
  • Follow organizational policies and applicable privacy, confidentiality, and documentation requirements.
  • Provide timely communication regarding appointment changes, cancellations, follow-up needs, and other scheduling issues.

Education

  • High School Diploma or equivalent (required)

Experience

  • Minimum of one (1) year of clerical or administrative experience (required)
  • Proficiency in Microsoft Office Suite (required)
