Quintairos, Prieto, Wood & Boyer, P.A. (QPWB), a multi-office national defense firm and the largest minority owned law firm in the United States, is seeking an Administrative Assistant – Executive Office to support our Chief Revenue Officer. This is a full-time, in-office position offering a competitive salary and comprehensive benefits package.

About the Role

This is an excellent opportunity for an organized, proactive administrative professional looking to grow their career while gaining exposure to executive operations, recruiting initiatives, and cross-functional projects within a fast-paced law firm.

The Administrative Assistant will serve as a key point of coordination for scheduling, communications, and project follow-up, helping ensure priorities move forward efficiently across multiple departments. The ideal candidate is detail-oriented, organized, and enjoys working in a collaborative, deadline-driven environment.

Primary Duties and Responsibilities
  • Assist with managing executive communications and coordinating incoming requests
  • Manage calendars, schedule meetings, and coordinate internal and external appointments
  • Track recruiting activity, including prospective lateral attorneys, interviews, onboarding milestones, and follow-up items
  • Coordinate with departments including Human Resources, Finance, IT, Operations, Marketing, and Recruiting to ensure projects remain on schedule
  • Maintain spreadsheets, trackers, and dashboards for recruiting and operational initiatives
  • Prepare and distribute reports using Microsoft Excel and internal systems
  • Prepare meeting agendas, assist with meeting logistics, and track action items
  • Follow up with internal teams to ensure deadlines and deliverables are met
  • Assist with special projects and other administrative responsibilities as assigned
  • Maintain professionalism and confidentiality while handling sensitive information
Qualifications
  • 2+ years of administrative, executive support, office coordination, or project coordination experience
  • Strong written and verbal communication skills
  • Excellent organizational skills with the ability to manage multiple priorities
  • Strong attention to detail and follow-through
  • Ability to work independently while collaborating effectively with multiple departments
  • Proficiency in Microsoft Outlook, Excel, Word, and Teams
  • Comfortable learning new software and internal systems
  • Professional demeanor and ability to maintain confidentiality
Preferred Qualifications
  • Experience in a law firm or other professional services environment preferred
  • Experience supporting recruiting, onboarding, project coordination, or executive operations is a plus
  • Familiarity with applicant tracking systems or CRM platforms is a plus
