CRM Enrollment Specialist

Description

The Online & Extended Studies (OES) CRM Enrollment Specialist is responsible for the administration, coordination, and execution of admissions, enrollment, and course-creation processes for a diverse community of learners, including off-campus cohorts, contract programs, special programming and continuing education credit/unit programs. This position serves as the primary CRM (Slate) resource for OES, managing applicant and student communications, enrollment workflows, reporting, and system processes that support prospective students throughout the enrollment funnel, from initial inquiry through enrollment. This position requires close collaboration with various offices across campus in support of student success and serves as the liaison between external organizations and academic departments. Serving as a liaison between external organizations and the university, this position supports student success initiatives and provides expertise regarding programs, policies, and protocols specific to OES.

Examples of Duties

Oversee the administration of courses, admissions, and enrollment services for off-campus cohorts, contract programs, special programming, and continuing education credit/unit programs. - 50%

  • Coordinate course and section creation, faculty credentialing and related program setup.

  • Process admissions, enrollments, registration changes, grade posting and other student records functions for non-degree, special credit and continuing education learners.

  • Manage enrollment communications and workflows, as well as student outreach efforts.

  • Review, update, and apply appropriate tuition rates, fees, and billing processes for cohort, contract, entrepreneurial and special programs.

  • Participate in semester Liveby review processes and support other enrollment, recruitment and retention initiatives as assigned.

Serve as the primary OES resource for Slate, supporting recruitment, communications, admissions, enrollment processes, and data management for adult learners, and special credit and Workforce students. - 40%

  • Collaborate with the Slate team to develop, implement and optimize recruitment, communication, and enrollment strategies that support OES student populations and improve inquiry, application, conversion and enrollment outcomes.

  • Manage and support Slate processes, workflows, communications, forms and reporting related to OES noncredit (Workforce) programs.

  • Act as the primary resource for Slate processes impacting OES students, providing guidance and recommendations to internal stakeholders and identifying opportunities for process improvement.

  • Monitor enrollment funnel performance and utilize Slate data and reporting tools to support recruitment and enrollment decision-making.

Collaborate closely with the Registrars Office, OESs Manager for Business and Fiscal Operations, and Student Financial Services (SFS), to facilitate the proper policies and procedures of enrollment and billing associated with OESs student population. - 10%

  • Coordinate schedule type requests and related course setup requirements for OES programs.

  • Review and verify instructor compensation for special programs, cohorts and contract offerings.

  • Facilitate student billing processes and assist SFS in resolving enrollment- and billing-related issues.

  • Generate and provide documentation for contract programs and third-party partners.

Typical Qualifications

Education:

  • Bachelor's degree in any field required.

Required Experience:

  • Two (2) years of professional experience in enrollment services, student records, admissions, student support, or a related administrative or operational role.

  • Advanced proficiency using modern office technologies, including word processing, spreadsheets, databases, email/calendaring, and presentation software.

Preferred Experience:

  • Knowledge of distance education, adult learners, and continuing education.

  • Experience with Banner, Slate, or similar student information and CRM systems.
