POSITION SUMMARY:
The Accounting Clerk I provides entry-level accounts payable and clerical support in a nonprofit finance environment. This role helps process vendor invoices, maintain accurate payment records, and support stewardship of organizational resources. Responsibilities include basic invoice entry, coding verification, filing, payment support, vendor record maintenance, and assisting with documentation related to grants, donor-restricted funds, and other nonprofit accounts payable activities. The Accounting Clerk I work under close supervision and follows established procedures to help ensure compliance, accuracy, and timely processing.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Process mail and sort incoming emails.
- Enter vendor invoices, payment requests, and other accounts payable transactions into the accounting system.
- Assist with invoice processing, check requests, and routine payment support activities.
- Review documents for completeness, coding, approvals, and supporting documentation.
- Maintain organized accounts payable records for vendors, grants, and other financial files.
- Assist with processing and tracking expenses related to donor-restricted funds and grant activity.
- Support month-end close by gathering invoice documentation and organizing disbursement data.
- Respond to routine inquiries from staff and vendors regarding invoice and payment status.
- Help maintain compliance with nonprofit accounts payable procedures, internal controls, and record retention requirements.
- Support audit preparation by locating payable records and filing supporting documentation.
- Perform other clerical and accounts payable support duties as assigned.
EDUCATION:
- High school diploma or equivalent required.
- Associate degree in accounting, finance, business, or a related field preferred.
- 0–2 years of clerical, bookkeeping, or accounting support experience.
KNOWLEDGE / SKILLS / ABILITIES / EXPERINECE:
- Basic knowledge of accounts payable and general ledger support activities.
- Ability to perform accurate data entry and maintain detailed invoice and payment records.
- Ability to follow established procedures, deadlines, and documentation requirements.
- Awareness of stewardship, accountability, and compliance expectations in a nonprofit setting.
- Ability to work cooperatively with staff across programs, development, and finance functions.
- Commitment to supporting the organization’s mission through accurate and timely disbursement operations.
- Working knowledge of Microsoft Word & Excel.
EQUIPMENT TO BE USED:
- Standard office equipment, including, but not limited to computer, calculator, facsimile, telephone, copier and printers.
TYPICAL PHYSICAL DEMANDS:
- Must be able to sit at a desk and/or computer for a minimum of 7.5 hours per day.
- Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, telephones and other office equipment.
- Requires normal range of hearing and vision.
- Must be able to walk or move to and from various conference or meeting room locations throughout ministry buildings.
- Must be able to travel as needed, a minimum of two weeks per year, to support conventions and meetings.
- Must be able to travel by airplane
