About This Position
1.0 JOB DESCRIPTION SUMMARY
The Accounting Assistant (Finance/Accounting) supports the CFO and Finance Department Supervisor by performing various administrative, operational tasks and processes accurately and on time. Ensure day to day, end of the month, annual and project goals are being met. The Accounting Assistant (Finance/Accounting) provides front-line communications support for the CFO and the Finance/Accounting department with an incredible amount of judgment, confidentiality, and discretion.
2.0 REPORTING RELATIONSHIPS
The Accounting Assistant (Finance/Accounting) reports directly to and is fully accountable to the CFO hereafter referred to as Manager and reports indirectly to the Finance Department Supervisor.
3.0 QUALIFICATIONS / REQUIREMENTS

Education and Experience:
Requires a High School Diploma.
Required: Minimum of 4 years’ experience working in a finance or accounting supportive role.
(A bachelor’s degree in finance/accounting will be accepted in lieu of the required working experience)
Required: Minimum of 2 years of hands-on QuickBooks experience.
Required: Advanced computer skills that include Excel, Outlook, PowerPoint and Word)
Preferred: Experience working in a transportation or logistics environment and larger company.
Strongly Preferred: Associate’s degree in finance/accounting and 2 years’ experience working in a finance/accounting supportive role.
Skills / Abilities:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to work independently and in a team setting.
Ability to build relationships and to earn the respect of the team.
Ability to manage multiple projects and prioritize tasks effectively.

Must be advanced in MS Office applications (Excel, Outlook and Word)
Must be available and willing to work Monday through Friday, 8am to 5pm.
Must be highly reliable.
Must be highly dependable as attendance, being on time as well as being at work as expected is very important.
4.0 ESSENTIAL FUNCTIONS
Follows and complies with all TSFS policies, procedures, guidelines, rules, and regulations.
Follow TSFS Customer Service Standards for Excellence. Each employee has the
responsibility of representing the company to its customers in a way that reflects the image and reputation of a world-class customer service organization.
As directed, in a timely manner or given deadline, complete all work assignments accurately and make the most effective use of their time and talent.
Utilize the company communication systems and company equipment (computer, printer, scanner, telephone, fax, email, and the delivery of all messages/information).
Utilize the company and department policies, and procedures, and meet specific objectives as directed by the manager.
Successfully completes training and cross-training with other department personnel as directed by the manager.
Ensure that documented standards for routine office and safety procedures and/or systems are being followed.
Must have the ability, skills and knowledge to keep all lines of communication open within the office.
Ability to work with team members that have exact time deadlines and require end-of-themonth results under a heavy workload.
Must possess knowledge of various filing systems.
5.0 ESSENTIAL DUTIES AND TASKS
Ensure financial/accounting matters for the CFO are managed with integrity, excellence, and diligence.
Support the CFO key initiatives, projects, and events through timely task completion.
Assist in the preparation of monthly, quarterly and annual financial statements, including balance sheets income statements.
Monitor and analyze expenses, identify variances, and recommend cost-saving measures where applicable.
Ensure compliance with accounting policies, procedures, and regulatory requirements.
Stay up to date on changes in accounting standards and regulations.
Identify opportunities for process improvements and efficiency enhancements within the accounting department.
Provides support in a variety of the more complex, clerical financial duties in accordance with standard procedures.
Reconciles financial accounts for departments or office to monthly statements.
Perform various data entry tasks.
Prepares monthly and quarterly financial reports for department management.
Review expenditure documents for accuracy and follow up to ensure that vendors are paid.
Maintains computerized accounting databases and generates ad hoc reports as needed.
Prepare billing, financial reports, and invoices.
Prepare journal entries.
Analyzes errors found in account reconciliation for best method of correction.
Provide excellent and timely internal and external customer service on behalf of the CFO.
Manage various team meeting logistics and take notes. Disseminate meeting notes and next
steps and follow up on all agreed-to commitments.
Complete and perform any other duties and responsibilities as assigned.
