Join Our Surgical Team as a Key Surgical Coordinator!
Our established multi-specialty Ophthalmology group is seeking a highly organized and patient-focused Surgical Manager to manage and provide support to surgical staff and surgical schedules while working with affiliated and non-affiliated ASC’s to ensure best practice to promote a positive patient experience with their surgery.
Summary:
Essential Duties and Responsibilities include the following: (Other duties may be assigned.)
Directly manages 20+ employees within the surgical scheduling department. Carries out managerial responsibilities in accordance with OOMC’s policies and applicable law.
Responsibilities include: interviewing, hiring, and guiding new employees; planning, assigning, and directing work in employees; appraising employee performance; rewarding and performance management of employees; addressing complaints, resolving issues and concerns; making sure Surgical Coordinators responsibilities are current and of quality; supporting the department when staff members are out of the office on any/all assignments.
Responsible for approving paid time off requests and approving hours worked for payroll purposes.
Responsible for Surgical Coordinator monthly schedule, training schedule and assigning staff depending on the needs of each provider and/or location.
Participates, plans and facilitates meetings involving surgical scheduling department and development with workflow and process changes and continuing education.
Responsible for managing the completion of packets for specific providers by: filling out surgical packet with last visit date, future surgical dates, lens information, printing testing, creating surgical schedule, and reviewing EHR clinical information
Receives surgical packet back from physician and manages the organization of the paperwork, updates systems and surgical schedules as needed. Uploads schedules and clinical testing into the appropriate systems.
Coordinates and schedules surgeries, follow-up appointments as designated by physicians.
Interacts with patients, physicians and other staff both within the clinic and at outside facilitates providing accurate, timely and responsive information.
Works closely with outside facilities coordinating block time for OR schedules for our physicians.
Responsible for going to the ASC with surgeon when needed for a surgical date 10-12 hours and working with the ASC to coordinate surgeon schedules, answering questions, and documenting for the surgeon using the ASC EHR system.
Schedule:
- Up to 40 hours per week.
What You'll Bring/Requirements:
- Proven experience in a healthcare setting, ideally surgical scheduling or coordination.
- Strong understanding of medical terminology and surgical procedures.
- Exceptional communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficiency in computer systems 1 and electronic medical records.
- Ability to remain calm and professional under pressure.
- Ability to perform indirect activities, administrative tasks and any other duties as assigned that contribute to the efficient and high quality performance of the medical practice.
- High school diploma or equivalent required.
