Description:

We are seeking a highly organized and proactive Administrative Assistant to support the daily operations of our affordable housing organization. This role provides administrative, office, and document management support across development, construction, property management, risk management functions, as well as administrative support for our home office operations. The ideal candidate is detail-oriented, service-focused, and committed to improving processes while helping teams operate efficiently.

Key Responsibilities

  • Provide administrative support including correspondence, reports, presentations, and document preparation.
  • Maintain organized electronic and physical filing systems and business records.
  • Manage office communications, phone calls, emails, visitors, and vendor interactions.
  • Coordinate meetings, training sessions, events, and office logistics.
  • Support document management, record retention, and data tracking activities.
  • Assist development, construction, property management, and risk management teams with project documentation and administrative tasks.
  • Maintain office supplies and support a productive office environment.
  • Identify opportunities to improve administrative processes and workflow efficiency.
  • Deliver professional customer service to employees, residents, vendors, and business partners.
Requirements:

Required

  • High school diploma or equivalent.
  • 2 to 5 years of administrative or office support experience.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Strong organizational, communication, and time management skills.
  • High attention to detail and ability to handle confidential information.
  • Ability to manage multiple priorities and meet deadlines.

Preferred

  • Associate degree preferred.
  • Experience in affordable housing, real estate, construction, or property management.
  • Experience with document management systems and business software.
  • Knowledge of affordable housing programs and compliance requirements.
