Heartland Fund Operations Director

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Heartland Fund Operations Director based in United States.

The Operations Director will play a critical leadership role in building and strengthening operational infrastructure within a growing mission-driven organization.
This position is responsible for developing scalable systems, ensuring compliance, managing operational risks, and improving organizational effectiveness.
The role combines strategic planning with hands-on execution across technology, vendors, contracts, benefits administration, and internal processes.
You will collaborate with leadership teams, external partners, and remote staff to create efficient workflows and support long-term sustainability.
The ideal candidate is an experienced nonprofit operations professional with strong organizational skills, sound judgment, and a passion for impactful work.

Accountabilities
  • Lead and strengthen day-to-day operational systems, processes, and infrastructure to support organizational growth, efficiency, and compliance.
  • Oversee technology systems, data governance, security practices, and external IT partnerships to ensure reliable and secure operations.
  • Develop, maintain, and improve organizational workflows, policies, procedures, and operational best practices in collaboration with internal stakeholders.
  • Manage risk management activities, business insurance processes, compliance requirements, and coordination with external advisors and vendors.
  • Support compliance obligations related to fundraising registrations, reporting requirements, organizational activities, and regulatory standards.
  • Oversee contract administration, procurement processes, vendor relationships, and documentation to ensure effective operational management.
  • Manage logistics and operational planning for virtual and in-person meetings, events, and organizational convenings.
  • Oversee employee benefits administration, employment-related processes, and relationships with external administrative partners.
  • Supervise operations team members and provide guidance, support, and leadership to ensure successful execution of organizational priorities.
  • Collaborate with leadership and cross-functional teams to identify operational improvements and create scalable solutions for a remote organization.
Requirements
  • Minimum of 10 years of professional experience, including at least 7 years managing operations and compliance functions within a nonprofit organization.
  • Demonstrated experience overseeing operational systems, vendors, contracts, procurement, risk management, and cross-functional administrative processes.
  • Strong understanding of nonprofit compliance requirements, organizational policies, and operational risk management practices.
  • Experience managing technology systems, security processes, and data-related operational initiatives.
  • Proven project management skills with the ability to prioritize multiple initiatives, manage deadlines, and coordinate diverse stakeholders.
  • Strong written and verbal communication skills with excellent attention to detail and problem-solving abilities.
  • Ability to work independently, exercise sound judgment, and effectively manage responsibilities in a remote environment.
  • Experience managing teams or operational staff is preferred.
  • Experience working in nonprofit grantmaking, philanthropic, intermediary, or startup environments is highly valued.
  • Familiarity with tools such as Google Workspace, video conferencing platforms, collaboration tools, CRM systems, and virtual operations platforms is preferred.
  • Experience with employee benefits administration, PEO relationships, event operations, and vendor management is a plus.
  • Ability to collaborate effectively with individuals from diverse backgrounds and perspectives, with a strong commitment to inclusive and mission-driven work.

  • Competitive salary range of $127,500 - $150,000 annually.
