This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Site Budgeting and Contracting Specialist based in the United States.

This role supports the successful execution of clinical research programs by managing site budgeting, contracting activities, and agreement workflows.
The position plays a key role in ensuring clinical trial agreements are negotiated efficiently, accurately, and in alignment with regulatory and operational requirements.
Working closely with study teams, sponsors, and external research sites, the specialist helps drive timely contract execution and study progress.
The role combines contract administration, negotiation, compliance oversight, and cross-functional collaboration within a global clinical research environment.
The ideal candidate will bring strong organizational skills, attention to detail, and the ability to manage multiple priorities while maintaining quality standards.

Accountabilities:

The Site Budgeting and Contracting Specialist is responsible for managing the preparation, negotiation, tracking, and execution of clinical trial site agreements and related documentation. This role requires strong coordination skills to ensure contracts move efficiently through approval processes while maintaining compliance with internal procedures and industry standards.

  • Negotiate directly with assigned clinical research sites regarding agreements, budgets, payment terms, amendments, confidentiality agreements, and related contractual documents.
  • Prepare, review, process, and maintain clinical trial contracts according to established policies, procedures, and quality requirements.
  • Manage contract tracking systems, ensuring accurate and timely updates on agreement status, approvals, signatures, and outstanding actions.
  • Coordinate with clinical study teams, project managers, sponsors, and internal stakeholders to communicate timelines, contract details, and progress updates.
  • Identify potential contracting delays, risks, or obstacles and escalate issues appropriately to support timely resolution.
  • Maintain organized electronic and physical contract files, ensuring executed agreements are properly stored and accessible.
  • Support compliance with applicable clinical research standards, including ICH Good Clinical Practice (GCP) principles and departmental SOPs.
  • Assist with process improvement initiatives and contribute ideas to enhance contracting workflows and operational efficiency.
  • Provide regular reporting and status updates on active agreements, pending approvals, and unresolved issues.
  • Complete required administrative responsibilities, including training documentation, timesheets, and expense reporting.
Requirements:

The ideal candidate is a detail-oriented professional with experience in clinical research contracting, budget management, or related operational functions. Strong communication, negotiation, and organizational abilities are essential for success in this role.

  • Bachelor’s degree preferred in a relevant field such as law, business, life sciences, healthcare, or a related discipline.
  • 2–4 years of relevant experience, or an equivalent combination of education and professional experience.
  • Experience supporting clinical studies, site agreements, contract negotiations, or research operations.
  • Understanding of clinical trial protocols, schedules of assessments, and research site processes.
  • Knowledge of clinical research regulations and quality standards, including ICH GCP principles.
  • Strong negotiation skills with the ability to communicate professionally with internal and external stakeholders.
  • Excellent organizational skills with the ability to manage multiple contracts, deadlines, and priorities simultaneously.
  • Strong analytical and problem-solving abilities, with the capacity to use data to support decision-making.
  • Proficiency with Microsoft Office applications and familiarity with contract, grant, or tracking management systems.
  • Excellent written and verbal communication skills in business English.
  • Collaborative mindset with strong interpersonal skills and the ability to work effectively across teams.
