EXECUTIVE ASSISTANT
The Executive Assistant to the CEO provides high-level administrative, organizational, and operational support to the CEO. This position serves as a trusted partner in managing the CEO's schedule, communications, priorities, meetings, and day-to-day responsibilities.
The Executive Assistant is responsible for helping the CEO stay organized and focused on the highest-priority needs of the business. This individual will anticipate needs, coordinate information across departments, track commitments and follow-up items, and ensure important matters continue moving forward. Because this position works closely with the CEO and has access to sensitive business and personnel information, a high level of professionalism, discretion, judgment, and confidentiality is essential.
QUALIFICATIONS:
- Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar professional support role preferred
- High school diploma or equivalent required. Associate's or bachelor's degree in business administration, communications, management, or a related field preferred.
- Experience directly supporting a CEO, executive, or senior leader strongly preferred
- Exceptional organizational and time-management skills
- Strong written and verbal communication skills
- High level of professionalism, discretion, and confidentiality
- Strong attention to detail and follow-through
- Ability to manage multiple priorities and quickly adjust as priorities change
- Ability to work independently and take initiative without requiring constant direction
- Strong problem-solving skills and professional judgment
- Ability to communicate effectively with individuals at all levels of the organization
- Proficiency with Microsoft Office, Google Workspace, and other business productivity platforms
- Ability to learn and utilize new technology and software systems
RESPONSIBILITIES:
- Manage and maintain the CEO's calendar, appointments, meetings, and scheduling priorities
- Coordinate internal and external meetings and ensure the CEO is prepared with necessary information and materials
- Monitor, organize, and assist with the CEO's email, correspondence, and communications as requested
- Draft and prepare emails, letters, reports, presentations, meeting materials, and other communications on behalf of the CEO
- Serve as a liaison between the CEO and employees, leadership, vendors, business partners, and other external contacts
- Help prioritize incoming requests and determine what requires the CEO's immediate attention
- Track commitments, deadlines, decisions, and action items resulting from meetings and conversations
- Follow up with individuals and departments on behalf of the CEO to ensure assigned items are completed
- Maintain an organized system for outstanding projects, requests, and follow-up items
- Prepare meeting agendas, take notes when needed, and communicate follow-up responsibilities
- Coordinate travel arrangements, itineraries, reservations, and other logistics
- Assist with planning company meetings, leadership meetings, events, and other business activities
- Conduct research and gather information to assist the CEO with business decisions and projects
- Maintain organized electronic and physical files, records, and documentation
- Assist with expense reports, invoices, receipts, purchases, and other administrative needs
- Identify issues requiring the CEO's attention and communicate relevant information in a clear and timely manner
- Anticipate the CEO's needs and proactively address administrative and organizational matters
- Assist with special projects and business initiatives as assigned by the CEO
- Handle confidential business, financial, personnel, and strategic information with discretion
- Perform additional duties and responsibilities as assigned by the CEO
PHYSICAL DEMANDS:
- Regularly required to sit, stand, walk, talk, and hear
- Frequent use of computers and office equipment
- Occasional lifting up to 25 pounds
- Vision requirements include close and distance focus
