Position Title: FM Onsite Coordinator

Description

Job Summary

ARC Document Solutions is seeking a detail-oriented and organized Mailroom Clerk to manage incoming and outgoing mail, packages, and related administrative services. This role is responsible for ensuring the accurate and timely distribution of mail while delivering exceptional onsite customer service. The ideal candidate demonstrates a positive, "Whatever It Takes" attitude and consistently exceeds client expectations through professionalism, accuracy, and responsiveness.

Key Responsibilities

  • Receive, sort, and distribute incoming mail and packages.
  • Process outgoing mail and prepare shipments for delivery.
  • Operate mailroom equipment, including postage meters, envelope openers, and letter-folding machines.
  • Track incoming and outgoing mail and packages while maintaining accurate records.
  • Identify, troubleshoot, and resolve mail processing issues.
  • Ensure confidential and sensitive mail is delivered securely to the appropriate recipient.
  • Coordinate courier services and schedule package pickups and deliveries.
  • Maintain an organized mailroom and manage inventory of supplies, including envelopes, postage, labels, and related materials.
  • Provide exceptional onsite customer service and support client needs in a professional and timely manner.
  • Adhere to company policies, safety procedures, and service standards.

Qualifications

Education

  • High school diploma or equivalent required.

Experience

  • 1-3 years of experience in a mailroom, print room, records management, or related environment preferred.
  • 1-3 years of customer service or administrative support experience.

Skills & Abilities

  • Strong written and verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Strong problem-solving and conflict-resolution abilities.
  • Proficiency with Adobe Acrobat and Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to pass a background check and drug screening.
