About the Position

Reporting to the Project Manager, the Project Coordinator supports the planning, coordination and delivery of projects aligned with CCSA’s priorities. This role works as part of a multi-disciplinary team providing operational support across the project lifecycle, including monitoring timelines and deliverables, coordinating with internal resources and external partners and maintaining project documentation using various project management tools.

Responsibilities and Accountabilities
  • In collaboration with the project team, support the planning, execution and close-out of projects in alignment with the approved scope, timelines, deliverables, and budget. Develop and maintain project charters, work back schedules and other tracking tools, ensuring accurate and up-to-date records
  • Monitor and prepare regular project status updates through meeting summaries, presentations, reports, and other documentation
  • Identify, communicate and document project risks and issues, escalating if necessary
  • Ensure the active participation, satisfaction and commitment of partners collaborating on CCSA projects through ongoing communication and support
  • Coordinate and follow up on project activities, dependencies and outstanding items with internal resources and external partners
  • Support timely coordination of project budgets, vendor procurement, contract and purchase order processes
  • Contribute to the continuous improvement of project management tools and processes

    QualificationsEducation and Experience
  • Post secondary education in project management, business administration or related field
  • Minimum of two years of experience in project coordination or operational support role
  • Experience leading and managing multiple complex projects in a fast-paced environment
  • Knowledge and Skills
  • Knowledge of project management principles, methodologies and best practices
  • Effective organizational and problem-solving skills, with the ability to manage competing priorities and tight timelines, while maintaining positive working relationships
  • Strong analytical skills with the ability to communicate effectively both verbally and in writing
  • Proactively identify and anticipate project risks, plan contingencies, and adjust plans as needed
  • Strong attention to detail and ability to maintain reliable and organized project documentation and records
  • Technical Competencies
  • Proficient in Microsoft 365 (e.g. Word, Excel, PowerPoint, Outlook, OneDrive)
  • Hands-on experience with project management tools (e.g. Asana, Birdview, Planner, or similar)
  • Experience with document management and collaboration tools (e.g. SharePoint, Teams,
  • Assets
  • Experience or expertise in the field of substance use and addiction
  • Experience working in or with governmental, non-governmental and international organizations
  • Bilingual — English and French
  • Certification or coursework in project management (e.g. CAPM, PMP), or currently working towards
  • Working Conditions
  • Work involves sustained coordination, planning and documentation, with regular management of multiple priorities, timelines and partners in a deadline-driven environment
  • Requires frequent collaboration with internal resources and regular interaction with external partners, vendors and service providers
  • Periodic time-sensitive demands are common, particularly during active project phases and events, requiring adaptability and problem-solving
  • Work is primarily performed in an office or home-based (flex hybrid model as applicable) environment, with occasional on-site presence and extended hours during events
  • Physical demands are minimal; no sustained physical exertion is required
