Job Description
Position Summary:
The Protocol Specialist supports the USCG Aviation Logistics Center (ALC) Commanding Officer and senior leadership by planning, coordinating, and executing distinguished visitor programs, command ceremonies, social functions, and base tours. This position serves as the primary protocol resource for ALC, ensuring that all official events are conducted in accordance with USCG and military protocol standards while maintaining the highest level of professionalism in representing CG-AIR to internal and external audiences.
Job Location:
On-Site – USCG Aviation Logistics Center, Elizabeth City, North Carolina
Key Duties and Responsibilities:
-Organize and coordinate base-wide tours with full itineraries and transportation for -Congressional staff, USCG Flag Officers, DHS officials, and other government representatives.
-Conduct weekly or as-needed tours for newly hired employees, visitors, schools, civic organizations, and command-directed groups.
-Lead specialized tours of ALC facilities for visiting groups.
-Greet distinguished visitors arriving by aircraft and coordinate ground transportation and guest escort services.
-Manage and coordinate complete visitor itineraries throughout the ALC complex.
-Set up and operate audio/visual equipment for command meetings and briefings.
-Manage the Commanding Officer’s Conference Room schedule, AV operations, and metric board updates.
-Attend meetings, record and publish meeting minutes, and track action items.
-Maintain and update weekly briefing materials and Command Brief (ALC101) documentation.
-Plan and manage ceremonies including retirements, promotions, awards, and command events.
-Develop invitations, scripts, speeches, and event programs.
-Organize and support Wardroom social functions and recognition programs.
-Coordinate the Enlisted Person of the Quarter recognition program with USCG Public Affairs and local media.
-Provide protocol guidance for invitations, scripts, and programs for ALC and USCG events.
-Assist the CG-AIR Commanding Officer’s Secretary with administrative duties as assigned.
-Maintain compliance with USCG Commandant Instructions, ALC instructions, and DHS directives applicable to the role.
Minimum Qualifications:
-High school diploma or equivalent required; associate or bachelor’s degree in Communications, Public Administration, Event Management, Hospitality, or a related field strongly preferred.
-Minimum two (2) years of experience in protocol and event planning, including organizing ceremonies, receptions, and events involving dignitaries, military officials, and high-ranking civilian representatives.
-Must obtain the Military/Department of War (DoW) Protocol Specialist Certification within twelve (12) months of hire.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
-Strong organizational, planning, and multitasking skills with the ability to work under minimal government oversight.
-Ability to occasionally work outside normal business hours for ceremonies or events.
-Must maintain a professional appearance and comply with all ALC, DHS, and USCG regulations and instructions.
Preferred Qualifications:
-Military/DoW Protocol Specialist Certification at the time of application.
-Prior experience supporting USCG, Coast Guard installations, or DHS protocol functions.
-Experience supporting an aviation logistics center, military air station, or similar aviation command environment.
-Familiarity with COMDTINST correspondence manual (M5216.4) and ALC-specific instructions.
-Experience with SharePoint, audio/visual equipment setup, and Microsoft Publisher.
-Prior experience with DHS background investigation processes.
-Bilingual in English and Spanish preferred but not required.
