Scheduling Team Lead

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Scheduling Team Lead based in United States.

This role is an opportunity to support a growing scheduling operation within a healthcare services environment. You will serve as a key resource for scheduling staff, helping teams meet productivity, accuracy, and service expectations. The position combines day-to-day scheduling responsibilities with team coordination, performance monitoring, problem-solving, and process improvement. You will work closely with department leadership to identify operational challenges and implement practical solutions. The role also provides opportunities to contribute to training initiatives, special projects, and workflow improvements. It is well suited to an organized and proactive professional who enjoys supporting colleagues while maintaining high standards of customer service and confidentiality.

Accountabilities:
  • Support, guide, and coordinate scheduling staff to ensure daily assignments are completed accurately, efficiently, and on time.
  • Monitor scheduler productivity and performance, providing regular updates and relevant insights to department leadership.
  • Assist with assigning, prioritizing, and tracking team tasks to maintain smooth daily operations.
  • Identify scheduling challenges, investigate issues, and communicate practical solutions to leadership.
  • Help coordinate departmental projects, initiatives, and special assignments as needed.
  • Participate in training activities and support the development and implementation of improved scheduling processes and workflows.
  • Schedule appointments directly when required, maintaining accuracy, professionalism, and a high standard of customer service.
  • Support scheduling activities related to disability evaluations, occupational health services, and other healthcare service lines.
  • Maintain accurate information within scheduling and computer systems while ensuring timely and reliable data entry.
  • Follow HIPAA requirements and maintain strict confidentiality when handling patient and appointment information.
  • Contribute to a positive, collaborative team environment focused on productivity, service quality, and operational success.

Requirements:

  • High school diploma or GED required.
  • At least 1 year of experience in clerical, administrative, scheduling, customer service, or a related field.
  • Previous scheduling or call center experience is preferred.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to interact effectively with colleagues, leadership, and customers.
  • Strong problem-solving and decision-making abilities, particularly when addressing scheduling issues or changing priorities.
  • Comfortable supporting and guiding colleagues while maintaining a collaborative and professional approach.
  • Strong attention to detail and commitment to accuracy when managing appointments and entering information.
  • Proficiency with computer systems, scheduling platforms, data entry, and standard workplace technology.
  • Ability to learn new systems and procedures quickly and contribute to process improvements.
  • Strong understanding of confidentiality and the ability to consistently follow HIPAA and other applicable privacy requirements.
  • Proactive, dependable, team-oriented approach with a strong commitment to operational excellence.
