We are looking for a polished, highly capable Executive Assistant to serve as the right hand to one of our Senior Partners – someone who keeps him organized, prepared, and ahead of every commitment.
A Note on This Role
This is not a Legal Assistant or Paralegal position, and the person in this role will not be working on case matters in the traditional sense (drafting pleadings, managing discovery, calendaring litigation deadlines, etc.). Instead, you will manage the Senior Partner’s time, priorities, and preparation so that he can focus entirely on his clients, cases, and other obligations. Familiarity with legal documents and terminology is a strong plus, since you will regularly be organizing and handling legal materials in preparation for meetings – but substantive legal work is not part of this position.
What You'll Do
As Executive Assistant, you will provide high-level, anticipatory support to a Senior Partner and help ensure he is always prepared, on schedule, and focused on what matters most. Your core responsibilities will include:
Calendar & Schedule Management
• Own and manage a complex, ever-changing calendar, proactively resolving conflicts and prioritizing competing demands
• Anticipate scheduling needs before they arise, and build in appropriate buffer and preparation time ahead of key meetings
• Schedule and coordinate travel arrangements, including flights, hotels, and ground transportation
• Coordinate frequently with law firm legal professionals to schedule and adjust meetings, calls, and case-related commitments on the Senior Partner’s calendar
Meeting Preparation & Follow-Through
• Anticipate what the Senior Partner will need for each meeting, deposition, hearing, or call, and ensure materials are gathered, organized, and in hand well ahead of time
• Gather and organize legal documents and other materials relevant to upcoming meetings (familiarity with legal documents and terminology is helpful, though you will not be substantively working on case matters)
• Track follow-up items and deadlines arising from meetings, and proactively keep the Senior Partner on track to complete them
Business Development
• Support business development efforts, including scheduling and coordinating meetings with clients and potential clients, referral sources, and other professional contacts
• Help prepare materials and coordinate logistics for business development events and meetings
• Plan and coordinate dinners and other business development gatherings, managing details from venue selection to guest coordination
Communications & Correspondence
• Serve as a trusted gatekeeper for the Senior Partner’s time, screening and prioritizing incoming calls, emails, and requests
• Draft, proofread, and manage correspondence on the Senior Partner’s behalf, exercising sound judgment with highly confidential and sensitive information
• Handle incoming and outgoing mail, ensuring timely distribution and processing
General Support
• Provide day-to-day administrative and project support as needed, anticipating needs before being asked
• Exercise absolute discretion with confidential, privileged, and sensitive information
• Although it will be limited, be available to work overtime, including occasional weekends, when business needs require it (for example, last-minute changes to travel arrangements)
Requirements:What We're Looking For
Required
• Bachelor’s degree required
• Several years of experience as an executive assistant or in a similar high-level support role, ideally supporting a senior executive, partner, or other senior leader
• Exceptional discretion, judgment, and the ability to responsibly handle confidential and privileged information
• Strong organizational skills, attention to detail, and an anticipatory, “two steps ahead” approach to problem-solving
• Ability to manage multiple priorities and shifting deadlines in a fast-paced environment
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
• Flexibility to work overtime and occasional weekends as needed (will be limited)
• Must sign a Non-Disclosure Agreement (NDA) as a condition of employment
• Ability to work from downtown Los Angeles office when necessary, although remote work will be considered for the right candidate
Preferred
• Prior experience supporting a partner, executive, or senior leader in a law firm or other professional services environment
• Familiarity with legal terminology, documents, and law firm operations
• A calm, professional demeanor and strong emotional intelligence when interfacing with clients, attorneys, and staff at all levels
