Job Title: Administrative Coordinator

Emphasis: Admin & Data Support

FLSA Status: Non-Exempt

Department: Administration

Reports to: Director of Finance

Location: Onsite | Full-time

Job Summary:

The Administrative Coordinator provides essential day-to-day administrative and operational support to program teams across locations, ensuring efficient, organized, and consistent program operations. This role serves as a key administrative resource by coordinating logistics, managing documentation, maintaining office systems, and supporting overall program organization.

In addition to core administrative responsibilities, the Administrative Coordinator supports basic data management functions, including data entry, record maintenance, user management and routine reporting. This role helps ensure program documentation is accurate, up to date, and aligned with organizational and funder requirements.

Working closely with the Data team, this position contributes to grant reporting, supports documentation practices, and helps reinforce consistent workflows across programs. The ideal candidate is highly organized, detail-oriented, and adaptable, with the ability to manage competing priorities and respond to evolving program and organizational needs.

Duties / Responsibilities (including but not limited to):

Program & Administrative Support:

  • Maintain and organize shared documents, files, and program records to ensure accessibility and consistency.
  • Assist in updating, formatting, and maintaining Standard Operating Procedures (SOPs), workflows, and internal documentation.
  • Support onboarding logistics for new staff, including workspace setup, equipment coordination, system access requests, and preparation of onboarding materials.
  • Manage office and IT supply inventory, including tracking levels, ordering supplies, and maintaining organized storage areas.
  • Update and maintain company SharePoint site.
  • Manage users, update workflows, and create forms across various internal databases

Staff Support & Training

  • Serve as the on-site point of contact for basic IT needs, coordinating with the off-site IT provider to troubleshoot equipment and access issues.
  • Assist program staff needing administrative or basic data support.
  • Provide guidance on standard processes (e.g., where to enter data, how to complete forms).
  • Escalate complex data or system issues to the appropriate team member.
  • Conduct one-on-one and team training as needed.
  • Serve as the on-site point of contact for basic IT needs, coordinating with the off-site IT provider to troubleshoot equipment and access issues.

Reporting & Data Support

  • Generate routine reports using Excel, databases, and existing templates.
  • Assist in compiling data for internal reports, dashboards, and funder deliverables.
  • Collaborate with the Data team to ensure accuracy and consistency in reporting.
  • Perform basic data clean-up tasks
  • Ensure documentation is complete and aligned with organizational standards and funder requirements.

Compensation & Merit Increases:

  • The pay range for this position is $25.00 - $26.50 per hour
  • Competitive pay commensurate with education and experience.
  • Vacation Leave & Sick Leave, Medical, Dental & Vision Insurance, 401k Plan.
  • Merit increases are based on annual performance reviews.
  • Employees brought in at the top of their pay range will need to transition to a role with greater responsibilities to qualify for further raises.

Position Type/Expected Hours of Work

  • This full-time position requires a minimum of 40 hours per week.
  • Some evening and Saturday work may be required.
  • Work hours are 8:00AM – 4:30PM, Monday through Friday, but may be adjusted according to business needs. Employees must be logged in and available during these hours, regardless of whether they are working in office or remotely.
  • This role has a flexible schedule. In office and remote scheduled hours may be adjusted with supervisor’s approval.

Requirements:

Required Skills/Abilities:

  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • High attention to detail and accuracy, particularly with data entry and documentation.
  • Comfortable working with databases, spreadsheets, and administrative systems.
  • Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook).
  • Ability to learn new systems and tools quickly.
  • Strong communication skills and ability to work collaboratively with diverse teams.
  • Problem-solving mindset with the ability to identify and address gaps in processes.
  • Ability to prioritize tasks and adapt in a fast-paced environment.

Preferred Skills

  • Familiarity with database systems (e.g., Salesforce or similar case management tools).
  • Experience in a nonprofit, social services, or program-based environment.
  • Basic understanding of reporting, metrics, or performance tracking.
  • Experience supporting multiple teams or projects simultaneously.
  • Experience with data visualization tools such as Power BI (or similar platforms).

Physical Requirements:

  • Prolonged periods of sitting at a desk and using a computer.
  • Occasionally required to lift or move items up to 20 pounds.

Education and Experience:

  • 1–3 years of administrative, program support, or office coordination experience.
  • Experience with data entry, recordkeeping, or working within databases or case management systems preferred.
  • Proficiency with Microsoft Office Suite (especially Excel, Word, and Outlook); ability to perform basic functions such as data entry, formatting, and simple tracking.
  • Experience in a nonprofit, social services, or program-based environment is a plus but not required.
  • Associate’s or Bachelor’s degree in a related field (e.g., business administration, social services, public administration) preferred, or equivalent combination of education and experience.
  • Demonstrated ability to work effectively with other disciplines and internal and external providers.
  • Demonstrated ability to serve people from diverse backgrounds.
