FLSA CLASSIFICATION: Non-Exempt
HOURS: Part-time, 24 hrs. per week

COMPENSATION: $32.00 per hour, paid bi-weekly

Position Description
The Staff Accountant is responsible for supporting Depaul USA’s financial operations by preparing and maintaining accurate billing records and ensuring timely and accurate processing of accounts receivable activities. This role plays a key part in maintaining strong cash flow, accurate financial reporting, and positive relationships with program partners, and funders. This position works closely with the organization’s City Directors to ensure accurate billing and payment application across programs. The Staff Accountant reports directly to the Financial Analyst, who reports to the Director of Finance. The role also partners with the Director of Finance, Chief Executive Officer (CEO), Chief Operating Officer (COO), and the Development team as needed to support organizational reporting, funding requirements, and financial accuracy.
Primary Duties and Responsibilities
Essential Functions
Accounts Receivable & Billing Support
• Prepare, review, and issue invoices in accordance with government and city contracts and grant funding requirements.
• Review invoices against grant sources to ensure proper billing alignment.
• Process invoice corrections, credit memos, and adjustments as needed.
• Research and resolve payment discrepancies, escalating complex issues to the Financial Analyst.
• Record and apply incoming payments (ACH, wire, checks) in QuickBooks and reconcile daily cash receipts.
• Maintain organized and accurate AR records, including payments, invoices, and supporting documentation.

Grant & Program Financial Support
• Allocate expenses to appropriate funding sources (e.g., HUD, MATCH, Excess) following established guidelines.
• Support City Directors in monitoring budget line items and ensuring compliance with grant spending requirements.
• Assist in ensuring program expenditures align with grant restrictions and reporting requirements.
• Support program-level accounting functions to maintain accurate financial records.

Reporting, Reconciliation & Compliance
• Assist with AR reconciliations and month-end close in coordination with the Financial Analyst.
• Generate standard AR and grant-related financial reports, including aging and payment summaries.
• Support preparation of financial reports for internal use and external funders.
• Assist with audit preparation and maintain compliance with internal controls and grant regulations.
• Stay current on nonprofit audit and regulatory requirements as they relate to financial operations.
• Support the Director of Finance and Financial Analyst in maintaining legal and regulatory compliance.

Additional Responsibilities
• Maintain organized financial files in accordance with retention policies.
• Scan, file, and maintain payment and invoice documentation.
• Assist with maintaining files and basic account updates.
• Stay current on AR processes and system updates to improve efficiency.
• Provide general clerical and administrative support to the Finance Department as needed.

General Responsibilities
• Stay informed of current local and national events, trends, and issues, that impact Depaul USA’s work with homeless individuals.
• Strive continuously to develop the role in collaboration with the supervisor to ensure that all tasks are being undertaken in an effective and appropriate manner, meeting the strategic goals and objectives of Depaul USA.
• Participate in internal/external meetings as required, attends training events, conferences, and other functions as necessary.
• Participate in regular supervision and annual evaluations, identifying his or her own developmental and training needs.
• Ensure adherence to all Depaul USA policies and procedures, particularly those relating to Health and Safety, Safeguarding, and the Code of Practice and Confidentiality.
• Contribute to the effective implementation of Depaul USA’s Equal Opportunities Policy as it affects both the organization and its work with this client group.
• Undertake the role in a professional manner maintaining a high-quality standard of work, in accordance with the Vision, Mission, and Values of Depaul USA.

Qualifications
The Staff Accountant should have experience in billing, accounts receivable, or accounting support, preferably in a nonprofit with experience in government and city contracts. [SV1.1]The ideal candidate is detail-oriented, organized, and proficient in accounting systems and Excel. Strong accuracy, reconciliation skills, and the ability to manage multiple priorities in a fast-paced environment are essential, along with professionalism, confidentiality, and effective communication with finance and program teams.
• Associate degree in Accounting, Finance, Business, or related field preferred (or equivalent experience).
• 2–3 years of experience in accounts receivable, billing, collections, or general accounting support.
• Experience with QuickBooks preferred.
• Strong proficiency in Microsoft Excel and Microsoft Office Suite.
• High attention to detail with strong data entry and reconciliation accuracy.
• Experience in nonprofit, social services, or multi-program environments preferred.
• Experience with city or government contracts preferred.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Strong communication skills with the ability to work effectively with finance staff, program directors, and leadership.
• Demonstrated professionalism, confidentiality, and reliability.
• Flexibility to support month-end, audits, or peak workload periods as needed.

Work Schedule:
• Location: 2904 Arsenal St., St. Louis, MO 63118
• Hours: Between Monday through Friday, 9:00 AM to 5:00 PM CST.[SV2.1]
• Due to billing deadlines, more hours are required during the first 15 days of each month.
