Position Details

Reports to: Chief Executive Officer

Commitment: Full Time, On-site/In Office 8:00 a.m.-4:00 p.m.

Availability and responsiveness after core business hours as responsibilities require.

Location: East Vancouver, Washington

Travel: Occasional domestic and international travel (potentially 2-4x a year)


We are looking for someone to work in partnership with the CEO to protect executive time, drive follow-through, and bring organization and momentum to a fast-moving founder environment. This is a high-agency, high trust position that requires someone who is an AI leaning, MBA-caliber professional who wants direct proximity to a CEO, with exposure to how an early-stage technology company is built.

The ideal candidate is an ambitious, business-minded professional who thrives in environments

where trust, judgment, speed, and discretion are critical.

  • You will manage the CEO’s calendar, inbox, communications, and travel, and will bring business judgment to meeting preparation, research, follow-up, and light analysis. The role ensures that priorities move efficiently from conversation to completion and that the CEO’s attention stays on strategy and growth, and the company’s most important relationships.
  • You are energized by creating order, anticipating needs, solving problems, and ensuring important work moves forward. You communicate with confidence and tact, understand how to operate around senior leaders, and take pride in becoming a trusted source of clarity and stability.
  • You are equally comfortable preparing an executive briefing, coordinating international travel, managing a sensitive stakeholder communication, researching a question, or following a commitment through to completion.
  • Most importantly, you understand that exceptional executive partnership is built through judgment, ownership, consistency, and trust.

Tools & Systems:

MacBook, Google Workplace, Monday.com, Proprietary systems leveraging ChatGPT/Claude, Ramp, Docusign, Dropbox.


What You Can Expect:


Office:

We are a small team.It is a high expectation, low-ego environment. Our office has an Open Floor Plan with a Lab. There is a large white board for ideation, a Nespresso machine for fuel, and an emotional support fish named Iggy. The team is full of questions and curiosity. Attire is business casual/casual.


Compensation:

The salary ranges between $90,000–$115,000, based on relevant experience. Merit Increases are considered based on demonstrated capabilities and broadened responsibilities. The position is also eligible for:

  • Discretionary performance bonuses

Your Success Will Be Measured By:

  • % of increase time CEO is devoted to strategy, leadership, growth, and high-impact decisions
  • Effective Management of Priority Dashboard - Track priority matters, commitments and decisions, including an owner, deadline, follow-ups and status
  • Inbox & Calendar Triage, including quality briefings, meeting preparedness.
  • Impactful KBUGs for consequential meetings, conferences, events, domestic /international travel
  • Effective tracking and workflow management for Contracts, Invoices, and NDAs


Recruiting Process:
