Based at our Event Boutique Office – 1057 Mount Pleasant Road, Toronto
Summerhill Market is looking for an organized, responsive, creative, and tech-savvy Human Resources Administrator to provide administrative support to our HR team across our retail stores, production facilities, warehouse, and corporate operations.
This is a full-time, in-person position based out of our Event Boutique office. The role is heavily focused on HR administration and is ideal for someone who is an excellent communicator, highly organized, comfortable with technology, and able to handle confidential employee information with a high level of professionalism and discretion.
Key ResponsibilitiesProvide day-to-day People & HR administrative support to the HR team, employees, and managers across the business.
Prepare employment letters for hourly employees and other routine employee documentation.
Maintain electronic employee files, including document uploading, organization, auditing, and file maintenance within ADP.
Collect and track work permits, maintain appropriate documentation, and enter required information within ADP.
Collect and process Benefits Enrollment Forms and ensure benefit eligibility information is accurately entered and tracked at the time of hire.
Manage and organize the HR inbox, respond to routine inquiries, and appropriately direct or escalate employee matters to the appropriate HR team member.
Help employees and managers connect with the right HR team member or resource depending on the nature of their request or concern.
Draft and update HR policies, procedures, SOPs, forms, templates, and employee communications.
Create engaging training materials, presentations, guides, checklists, acknowledgements, and employee resources.
Track and provide administrative support for Joint Health & Safety Committee (JHSC) meetings across the business, including schedules, documentation, minutes, action items, and follow-up.
Assist with job postings, applicant screening, interview coordination, references, offers, and new-hire documentation.
Coordinate onboarding and offboarding administration and ensure employee records are complete and accurate.
Track employee training, certifications, policy acknowledgements, documentation, and other HR deadlines.
Support ADP data entry, employee changes, reporting, and general HRIS administration.
Maintain HR trackers, spreadsheets, reports, templates, and shared resources.
Coordinate meetings, prepare documentation, take notes, and proactively follow up on action items.
Support employee communications, engagement initiatives, and other People & HR projects.
Identify opportunities to organize, simplify, digitize, and improve HR administrative processes.
Maintain strict confidentiality and discretion when handling employee, payroll, performance, disciplinary, medical, and other sensitive information.
Provide additional HR administrative support as required.
Education or experience in Human Resources, Business Administration, Office Administration, or a related field.
Previous HR or administrative experience preferred.
ADP knowledge is an asset; being tech-savvy and comfortable learning new systems quickly is important.
Exceptional confidentiality, discretion, professionalism, and judgment.
Excellent written and verbal communication skills.
Highly organized, responsive, reliable, and detail-oriented, with strong follow-through.
Creative and able to develop clear, professional, and engaging communications, training materials, presentations, and employee resources.
Strong Microsoft Office and general technology skills.
Comfortable managing a busy shared inbox and balancing multiple competing priorities and deadlines.
Proactive and resourceful, with a strong sense of ownership and accountability.
Professional, approachable, and service-oriented when supporting employees and managers.
Strong judgment regarding when information should remain confidential, be shared on a need-to-know basis, or be escalated within HR.
Comfortable working full-time, in person from our Event Boutique office.
Experience in retail, grocery, food production, hospitality, or another fast-paced multi-location environment is an asset.
