Job Type: Full Time

Location: INLIV, Calgary, AB

Salary Range: $50,000 - $55,000 CAD per annum

Position Summary

The Medical Operations Support (MCC Support) role is responsible for managing clinic-wide operational tasks that ensure smooth coordination between Medical Care Coordinators (MCCs), physicians, and patients. This includes handling incoming faxes, tracking the progress of referrals and requisitions, and updating preventative care records. MCC Support also provides vacation and sick coverage for MCCs, ensuring continuity of care and administrative support.

What you will be doing:

• Monitor and process all incoming faxes into the EMR.

• Ensure documents are accurately assigned, titled, and linked to the correct patient chart.

• Track and manage the progress of all external referrals and diagnostic requisitions, including booking status, wait times, and results.

• Follow up with external facilities and update referral/requisition statuses accordingly.

• Inform patients of appointment dates, times, and locations where appropriate.

• Ensure requisitions and forms are properly marked (Faxed, Completed, Cancelled, etc.) in the EMR.

• Enter preventative care results (e.g., mammograms, Pap smears, FIT tests, colonoscopies, BMDs) into the EMR based on physician messages or incoming results.

• Record procedure type, date, and results, including recommended follow-up intervals, according to clinical guidelines.

• Generate follow-up reminders in the EMR for THM clients where applicable.

• Provide vacation and sick coverage for Medical Care Coordinators (MCCs), ensuring continuity of patient communication and administrative support.

• Manage inboxes, messages, requisitions, and scheduling duties on behalf of absent MCCs.

• Support the MCC team with workload balancing, including assisting with faxes and follow-ups as needed.

• Collaborate with MCCs, physicians, and other clinic staff to ensure smooth operations.

• Maintain accurate and timely updates within patient charts.

• Support physicians and MCCs by reducing administrative burden and ensuring follow-up care is coordinated.

You have:

• 2 years of experience in medical office administration or healthcare operations preferred.

• Strong knowledge of medical terminology and EMR systems (CHR/TELUS Health preferred).

• Excellent organizational skills with strong attention to detail.

• Ability to manage multiple priorities in a fast-paced environment.

• Effective communication and problem-solving skills.

• Professional, compassionate, and patient-centered approach.

• Strong ability to work independently while supporting team goals.


The salary offered for this position falls within a specified salary range and will be determined based on a variety of factors, including but not limited to the candidate's experience, qualifications, skills, and the specific needs of the organization.
