About This Position

Under the direction of the Capital Improvements Plan (CIP) Program Manager, this position provides Public Works staff members with direct technical and professional support. Assists with financial accounts, reports and communication efforts related to public works functions. Carries out responsibilities in accordance with established departmental policies & procedures, City codes and ordinances, and state and federal regulations. Capable of completing assignments within defined methods, procedures, and practices, as a self-starter. Frequently interfaces with City employees internal to the department, and external consultants, and contractors.


  • Provide a wide range of administrative and logistical support.
  • Data entry of CIP projects, and in the City’s financial ERP software.
  • Assists in developing and maintaining electronic filing systems for the CIP department.
  • Processes weekly vendor invoices and check requests for CIP projects and interfaces with Finance department Accounts Payable and use of the City’s ERP system.
  • Responds to consultants and contractors regarding invoices and pay applications.
  • Performs data collection and analysis requiring problem solving in maintaining project finds and project financial reports.
  • Attends meetings, records minutes and distributes meeting notes as requested.
  • Develop and maintain standard operating procedures.
  • Assists Public Works Services Director and CIP Program Manager with special projects.
  • Remains accessible via personal cell phone to address job-related issues or emergencies using City applications.
  • Other related duties, as assigned.

Formal Education: High School diploma or equivalent.
Relatable Work Experience: Four (4) years of administrative or technical support.
Training, Licenses, and Certifications: None required.

Disclaimer: Unless otherwise stated, applicants are permitted to substitute two years of related full-time experience for one year of higher education or one year of related higher education for two years of experience in order to meet the minimum requirements of the job. One year of full-time experience is define as 30 or more hours worked per week for 12 months. One year of higher education is defined as 30 credit hours completed at an accredited college or university.


Extensive knowledge of customer services principles and practices.
Extensive knowledge of computer skills (Microsoft Word, PowerPoint, Excel, Outlook)
Efficient and effective planning and coordination.
Ability to resolve problems and situations.
Skilled in gathering, processing, and analyzing data.
Ability to perform research and handle multiple priorities.
Ability to communicate proficiently and effectively.
Office environment, effectively and safely operate computer and other standard office equipment.
Frequent verbal and written communication.
Effectively and safely operate City vehicle.
Regularly scheduled for a 5-day, 40-hour workweek. Monday through Friday, 8:00 am to 5:00 pm.
Additional hours outside of regular schedule required, as needed.
Overtime occasionally required.
