Job Description

People Operations Coordinator

The People Operations Coordinator is a critical hire on our growing People team. This role will play a critical part in employee experience, owning our onboarding program end-to-end, keeping our HR operations running smoothly, and providing hands-on support across talent acquisition, payroll/benefits administration, and people programs. You will work closely with the Manager, People Operations and the Payroll & Benefits Specialist and will be the first point of contact for employees on day-to-day HR questions.

Over the course of the next 3 – 6 months, this role will also actively support our Talent Acquisition team — scheduling interviews, coordinating with candidates, and managing offer logistics.

Onboarding & New Hire Experience

  • Own the end-to-end onboarding process for all new hires from signed offer letter through orientation
  • Design and maintain the new hire and onboarding journey (Day 1 – 90)
  • Coordinate all orientation logistics: IT setup, badge access, workspace prep, welcome materials, in collaboration with other team members
  • Facilitate new hire orientation sessions, partnering with department leads and the Quality training team
  • Track onboarding completion metrics and new hire 90-day retention data; reporting to People Operations Leadership quarterly
  • Continuously improve the onboarding experience based on new hire feedback

HR Operations & Administrative Support

  • Maintain employee records and ensure accuracy in HR systems (HRIS implementation in progress — will be a key user and admin)
  • Support the Payroll & Benefits Specialist with data entry, enrollment processing, and employee inquiry routing
  • Manage HR inbox — triage and respond to employee questions on benefits, policies, leave, and general HR matters
  • Process employment verifications, status change forms, and offboarding paperwork
  • Support compliance documentation and file management
  • Support front desk operations as needed, which would involve greeting guests and vendors and managing the guest experience, answering phones, restocking break room supplies, etc.
  • Support immigration compliance by maintaining and auditing employee immigration files, tracking key filing deadlines, and document expiration dates.

Culture & People Programs

  • Support the coordination of company-wide people programs and events (Development Month, engagement surveys, recognition programs)
  • Help maintain the company intranet/communication channels with HR content and policy updates
  • Serve as a culture ambassador — reinforce our values through every employee touchpoint

Talent Acquisition Support (First 6 Months)

  • Coordinate interview scheduling across multiple hiring managers and candidates
  • Support coordination of candidate travel and onsite interview logistics
  • Manage candidate communication and status updates throughout the hiring process as needed
  • Manage the interview and hiring process for all Staffing Agency candidates
  • Support reference checks

Required

  • 1+ years of experience in HR, People Operations, or a related administrative/coordinator role
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Excellent written and verbal communication skills — you are the first impression of our HR team
  • High attention to detail and discretion when handling confidential employee information
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); comfort learning new systems quickly
  • Demonstrated customer-service orientation — you show up for employees and follow through

Preferred

  • Experience in a manufacturing, healthcare, pharma, or regulated environment
  • Familiarity with an ATS or HRIS platform (experience with a system implementation is a plus)
  • Exposure to onboarding program design or talent coordination
  • SHRM-CP or aPHR in progress or interest in pursuing HR certification
