This role is ideal for an organized and proactive talent professional who enjoys creating seamless hiring experiences in a fast-paced, global environment.
You will coordinate complex, high-volume interviews across multiple time zones while keeping candidates and hiring teams aligned.
Working closely with recruiters, hiring managers, and interviewers, you will become a key operational partner throughout the recruiting lifecycle.
The role combines scheduling, candidate communication, ATS management, and broader recruiting administration with opportunities to improve processes.
You’ll have visibility across a growing Talent Acquisition function and contribute to initiatives such as employer branding, talent communities, and university recruiting.
Success will require excellent attention to detail, sound judgment, flexibility, and a genuine commitment to candidate experience.
This is a remote opportunity for someone based on the East Coast who can flex their schedule to support EMEA time zones when needed.
- Coordinate high-volume and complex interview schedules across multiple time zones, balancing availability across candidates, hiring managers, recruiters, and interviewers.
- Serve as a primary point of contact for candidates, providing timely, thoughtful communication and maintaining a smooth, professional experience throughout the hiring process.
- Partner with recruiters, hiring managers, and interviewers to manage scheduling changes, rescheduling requests, cancellations, and last-minute adjustments.
- Proactively identify and resolve scheduling conflicts and coordination challenges, using sound judgment to keep hiring processes moving efficiently.
- Maintain accurate and up-to-date candidate and interview information within the applicant tracking system.
- Provide administrative and operational support throughout the recruiting lifecycle, including onboarding preparation and other Talent Acquisition activities.
- Identify opportunities to streamline scheduling workflows, improve recruiting processes, and enhance the experience of candidates and internal stakeholders.
- Contribute to broader Talent initiatives, including employer branding, talent communities, university recruiting, and special projects as opportunities arise.
- Handle sensitive candidate and employee information with a high level of discretion, confidentiality, and professionalism.
- At least 1 year of experience as a Recruiting Coordinator, Talent Acquisition Coordinator, or in a comparable coordination or administrative support role.
- Demonstrated experience coordinating complex schedules across multiple time zones, ideally within globally distributed teams.
- Strong organizational skills and exceptional attention to detail, with the ability to manage multiple priorities, tight deadlines, and frequent last-minute changes.
- Excellent written and verbal communication skills, with the ability to build trusted relationships with candidates, recruiters, hiring managers, and interviewers.
- Strong problem-solving abilities and a proactive approach to navigating scheduling challenges and shifting priorities.
- Demonstrated commitment to delivering a high-quality candidate and stakeholder experience.
- High level of discretion and professionalism when working with confidential and sensitive information.
- Proficiency with Google Workspace and/or Microsoft Office.
- Hands-on experience with applicant tracking systems such as Ashby, Greenhouse, Lever, or similar platforms.
- Ability and willingness to work from Canada's East Coast and flex working hours when necessary to support EMEA time zones.
- Experience supporting Talent Acquisition or recruiting teams within a high-growth technology or SaaS environment is a plus.
- Competitive annual salary of CA$53,600–CA$73,700, depending on responsibilities, qualifications, experience, certifications, and location.
