Proposal Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Proposal Specialist based in the United States.

The Proposal Specialist will play a key role in managing proposal operations and supporting business growth through high-quality, compliant, and timely submissions.
This position oversees the full proposal coordination process, from planning and content organization to final delivery and continuous improvement.
The ideal candidate will combine strong organizational skills with attention to detail, communication expertise, and the ability to manage multiple priorities.
Working closely with sales teams, subject matter experts, and internal stakeholders, this role ensures proposals are accurate, compelling, and aligned with client expectations.

Accountabilities:

The Proposal Specialist will be responsible for coordinating proposal activities, maintaining document quality, and ensuring successful delivery of proposal materials while supporting sales and business development efforts.

  • Manage all organizational aspects of daily proposal activities, ensuring proposal documents remain secure, accurate, and compliant with requirements.
  • Coordinate the internal review process and workflow for proposal outputs across multiple stakeholders.
  • Develop proposal plans, timelines, task schedules, milestone tracking, compliance matrices, templates, and writing assignments.
  • Coordinate meetings, schedules, and communication between internal teams involved in proposal development.
  • Gather and maintain supporting materials, including case studies, references, project team biographies, and relevant collateral.
  • Oversee the proposal process from planning through submission to ensure deadlines, quality standards, and client requirements are consistently met.
  • Support proposal submissions through online portals and other delivery platforms.
  • Maintain and improve proposal processes by identifying opportunities for increased efficiency and quality.
  • Manage proposal collateral within centralized databases, ensuring materials are accurate, current, and easily accessible.
  • Build strong working relationships with sales teams and internal stakeholders to support business development initiatives.
  • Ensure proposal content is organized, professional, and aligned with customer expectations.
Requirements:

The ideal candidate will have strong organizational capabilities, excellent communication skills, and experience managing complex projects with multiple stakeholders.

  • Strong analytical and structured problem-solving skills.
  • Ability to manage multiple tasks simultaneously while adapting to changing priorities.
  • Self-motivated and proactive approach with the ability to work independently and meet deadlines.
  • Excellent attention to detail and strong organizational skills.
  • Clear and professional written and verbal communication skills for internal and external audiences.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to collaborate effectively with employees, clients, colleagues, and stakeholders at all organizational levels.
  • Strong customer-focused mindset with demonstrated sales support and client communication abilities.
  • Experience coordinating proposals, bids, RFP responses, or similar business development processes is preferred.
  • Ability to work effectively in a fast-paced environment with evolving priorities.
