Pitch & Proposals Coordinator

Buchanan Ingersoll & Rooney is a national law firm with a proven reputation for providing progressive, industry-leading legal, business, regulatory and government relations advice to our regional, national and international clients.

We are seeking a Pitch and Proposal Coordinator in our Pittsburgh, PA or Philadelphia, PA location. This position will, in coordination with the Proposal Manager, be responsible for the creation of impactful and complex proposal packages and play a significant role in supporting the firm’s business development objectives by coordinating the development of requests for proposals (RFPs), requests for information (RFIs), proposals, and other pursuit materials. As a key contributor, the Pitch and Proposal Coordinator partners with business development teams, lawyers, and business services teams to develop high-quality submissions to secure new business, strengthen existing client relationships, and elevate the Firm’s brand.

Primary Duties and Responsibilities:

• Work with the Proposal Manager to prepare responses to RFPs and high-value pitches, including project planning, drafting, editing, proofreading, and production.
• Edit, proof, and format proposals and ensure RFP/RFQ requirements are met.
• Develop a strong understanding of practice areas, departments, and industries served.
• Gather and maintain practice content and representative experience in the firm’s knowledge management system.
• Archive final proposal documents and track outcomes.
• Collaborate with Proposal Manager to collect and track client feedback, refining proposal content to improve quality and performance.
• Remain informed of industry trends, assist with determining firm and practice differentiators that set the firm apart from the competition.
• Participate in client development and marketing meetings, as needed.
• Attend firm and client events, as requested.
• Assist with other BD & Marketing functions such as advertisement, graphic design, or event coordination, as needed.

Required Education/Experience:

• Bachelor’s degree in Marketing, English, Communications, Journalism, or related field.
• 3+ years’ experience in a law firm or professional services environment working on or with proposals.
• Proactive, adaptable, and comfortable working in a fast-paced environment with shifting priorities.
• Excellent organizational and project management abilities with the ability to meet multiple competing deadlines.
• Strong interpersonal and communication skills.
• Able to work collaboratively and independently.
• Strong writing, editing, and proofreading skills, including a command of grammar, knowledge of AP style and exceptional attention to detail.
• Technologically proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
• Familiarity with proposal software, knowledge management tools, and proposals platforms (PERSUIT, Ariba, etc.) is a plus.
