Job Description
The Administrative Assistant at Hyper Solutions plays a key role in supporting the daily operations of the office while providing administrative support to company leadership. This position serves as the first point of contact for employees, customers, partners, and visitors, helping create a professional and welcoming environment while ensuring day-to-day operations run smoothly.
This role supports multiple executives through calendar management, travel coordination, meeting planning, and project administration. The Administrative Assistant also helps maintain office operations, coordinate events, and support cross-functional collaboration across the organization.
This position is well-suited for a highly organized, proactive professional who enjoys supporting leadership, managing multiple priorities, and creating an exceptional employee and visitor experience.
Core Responsibilities
- Welcome employees, visitors, customers, and business partners in a professional manner
- Maintain an organized, well-stocked, and efficient office environment
- Coordinate conference rooms, meetings, catering, and audio/visual requirements
- Manage office supplies, mail, shipping, and vendor relationships
- Partner with property management to coordinate facility maintenance and office needs
- Support company events, team meetings, and employee engagement activities
- Provide calendar management, scheduling, and meeting coordination for multiple executives
- Arrange business travel and process expense reports
- Draft, edit, and proofread business correspondence, presentations, and other documents
- Coordinate administrative projects and support cross-functional initiatives
Additional Responsibilities
- Build strong working relationships across departments and serve as a trusted resource for employees and leadership
- Maintain organized records and administrative documentation
- Support continuous improvement of office operations and administrative processes
- Assist with special projects and other administrative duties as assigned
- High school diploma, GED, or equivalent required
- 5+ years of administrative, office coordination, executive assistant, or related experience
- Experience supporting multiple executives and managing complex calendars
- Experience coordinating travel arrangements, meetings, and company events
- Proficiency with Microsoft Office and/or Google Workspace
- Experience using Microsoft Teams and other collaboration platforms
- Strong organizational, communication, and multitasking skills
- Ability to manage multiple priorities while maintaining attention to detail
Preferred Qualifications
- Associate’s degree or higher
- Experience supporting executive leadership in a fast-paced environment
- Experience coordinating cross-functional projects and administrative initiatives

Compensation
The anticipated minimum hiring range for this role is $75,000 - $85,000 per year. Actual salary varies due to factors that may include but not limited to relevant experience, skills, certifications and location. This hire will be eligible for discretionary bonus or incentive compensation. Variable compensation may depend on various factors, such as individual and organizational performance.
