Job Summary
The Onboarding Specialist delivers a seamless, compliant new-hire experience across AMPAM Parks Mechanical and its affiliated entities. This role owns the onboarding lifecycle in ADP Workforce Now—building employee profiles and system accounts, verifying documentation, leading onboarding presentations, and conducting onsite drug testing—while serving as a bilingual (English/Spanish) point of contact for new field and office employees.
Key Responsibilities Include: (But not limited to the following)
- Create and maintain new employee profiles and system accounts in ADP Workforce Now, ensuring accurate data across payroll, benefits, and time-tracking.
- Process new-hire paperwork and documentation, including Form I-9 verification, tax forms, and required acknowledgments, in compliance with federal and California requirements.
- Conduct new-hire onboarding presentations and orientations for field and office employees in both English and Spanish.
- Administer onsite drug testing for new hires in accordance with company policy and applicable regulations, coordinating with vendors as needed.
- Serve as the primary contact for new hires and partner with HR, payroll, and hiring managers to keep onboarding timely and coordinated across all AMPAM locations.
- Maintain onboarding records and trackers, support audits and reporting, and provide ad hoc support to the HR team on projects and process improvements as assigned.
Qualifications
- High school diploma or GED required; Associate’s degree in Human Resources, Business Administration, or a related field preferred.
- One to two years of onboarding, HR, or administrative experience, ideally in construction or a high-volume hiring environment.
- Bilingual in English and Spanish (verbal and written) required.
- Hands-on experience with ADP Workforce Now or a comparable HRIS/payroll system required; experience with similar platforms preferred.
- Knowledge of federal and California new-hire compliance (Form I-9, E-Verify); able to perform onsite drug/alcohol testing per company policy (collector training provided).
- Strong presentation, interpersonal, and organizational skills; high attention to detail; proficient in Microsoft Office.
