The Medical Assistant (MA) supports providers and helps deliver high-quality, patient-centered care at Mountain View Headache and Spine Institute. The MA performs clinical and administrative duties, including patient intake, preparation for visits and in-office procedures, assistance with headache and spine care, room cleaning and turnover, and timely documentation in the electronic medical record (EMR).
This specialty practice focuses on headache medicine, spine care, and interventional pain management. The MA must be organized, attentive to detail, compassionate with patients, and able to adjust to changing clinic and staffing needs.
Supervisory Responsibilities- None
Clinical Care and Procedure Support
- Room patients and accurately obtain and document vital signs, medical histories, medications, allergies, and chief complaints in the EMR.
- Prepare patients for examinations, injections, treatments, and in-office procedures.
- Review the clinic schedule and prepare the appropriate rooms, supplies, equipment, and materials before patient visits and procedures.
- Assist physicians and advanced practice providers during examinations and procedures, including preparing equipment and supporting sterile technique as directed.
- Administer injections, medications, or treatments only when authorized, properly trained, and permitted under applicable law and practice policy.
- Perform phlebotomy, EKGs, and other assigned clinical tasks within training and authorized duties.
- Observe patients during and after procedures as directed, and promptly report symptoms, abnormal findings, or changes in condition to a licensed clinician.
- Communicate with providers and the clinical team to support safe, efficient patient flow.
Room Preparation, Cleaning, and Turnover
- Prepare exam and procedure rooms before clinic begins and confirm that equipment, supplies, and materials are ready for scheduled services.
- Clean and turn over exam and procedure rooms between patients in accordance with infection control procedures.
- Clean and prepare reusable equipment and handle used instruments according to practice procedures.
- Dispose of sharps, biohazardous materials, and other waste in the appropriate containers.
- Restock rooms throughout the day and check supplies and medications for expiration dates, storage requirements, and availability.
- Report equipment problems, supply shortages, and safety concerns promptly.
Administrative and Documentation Responsibilities
- Complete assigned clinical documentation accurately and in a timely manner in the EMR.
- Schedule appointments, procedures, and follow-up visits as needed.
- Assist with prior authorizations, referrals, records requests, and coordination of care when assigned.
- Respond professionally to phone calls and patient messages and route clinical questions and prescription refill requests to the appropriate provider or licensed clinician.
- Collect or verify insurance and demographic information when needed.
- Help maintain organized clinical work areas and patient records.
Patient Experience and Professional Conduct
- Treat patients and family members with compassion, respect, and professionalism.
- Explain routine visit and procedure preparation using provider-approved instructions; refer questions requiring clinical judgment to the appropriate clinician.
- Communicate clearly and promptly with providers, coworkers, patients, and leadership.
- Maintain a calm, professional approach in a busy clinical environment.
- Assist coworkers and support clinic operations as patient care and staffing needs change.
- Uphold the mission, values, policies, and standards of Mountain View Headache and Spine Institute.
Travel and Scheduling
The MA will have an assigned primary location but must be available to work at other MVHSI sister locations based on clinic schedules, patient volume, and staffing needs. Assignments and schedules may change to meet operational needs. Reliable transportation is required for travel between assigned locations.
Required Skills/Abilities- Current Medical Assistant certification or registration (CMA, RMA)
- Current CPR/BLS certification, or ability to obtain it within the timeframe established by the practice.
- Knowledge of medical terminology, clinical workflows, and infection control practices.
- Basic computer skills and ability to learn and use EMR systems.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Effective verbal and written communication skills.
- Ability to travel to assigned sister locations as needed.
- Two or more years of experience working as a Medical Assistant.
- Experience in neurology, pain management, headache medicine, orthopedics, or spine care.
- Experience assisting with injections or other in-office procedures.
- Experience with eClinicalWorks.
- Spanish speaking strongly preferred.
- High school diploma or GED required.
- Completion of a Medical Assistant training program required.
- Current Medical Assistant certification or registration (CMA, RMA, or equivalent) required.
- Current CPR/BLS certification required or must be obtained within the timeframe established by the practice.
- Ability to stand, walk, and move throughout the clinic for extended periods.
- Ability to lift, push, or pull up to 25–30 pounds, with or without reasonable accommodation.
- Manual dexterity to handle clinical supplies, assist with assigned tasks, and complete documentation.
- Ability to work in a clinical environment where exposure to blood, bodily fluids, sharps, and medical equipment may occur, while following required safety procedures.
