Summary:

Under the direction of the Associate Director of Human Resources, the HR Coordinator serves as the primary administrative and intake point of contact for the Human Resources team, providing day-to-day support across a broad range of HR operations. This role is responsible for coordinating administrative processes, supporting employee lifecycle activities, maintaining accurate records, and assisting with HR programs, compliance, and special projects. The HR Coordinator plays a key role in ensuring efficient HR operations while delivering high-quality service to employees.

Duties and Responsibilities:

Front-line HR & Intake Coordination

  • Monitors and triages incoming HR inqurieis, routing to appropriate HR team members as needed.
  • Responds and appropriately redirects calls from the Institute's main phone number.
  • Serves as a front-line administrative resource for employees, escalating issues consistent with established procedures.
  • Occasionally coordinates guests' visits with other departments.

HR Administration & Records Management

  • Provides administrative support, including data entry, filing, scanning, and coordination of logistics for meetings and events.
  • Supports HR records management, including maintenance of paper and electronic personnel files and HR departmental files.
  • Assists with posting mandated labor law posters.
  • Coordinates ordering of office and departmental supplies Human Resources.

HRIS, Reporting & Transaction Support

  • Performs data entry and other transactional tasks in HR information systems.
  • Assists with preparation of routine HR reports and trackers using HRIS and internal tools.
  • Supports maintenance of training records, attendance logs, and related documentation.

Onboarding, Training & Internship Support

  • Supports onboarding and offboarding logistics (e.g., scheduling, meeting coordination, document routing) at the direction of the HR Operations & Onboarding Coordinator and HR leadership.
  • Supports training coordination, including scheduling, attendance tracking, and learning record maintenance.
  • Works with the Compliance team on individual internship requests, including administrative coordination and documentation support.

Compliance & Audit Support

  • Supports compliance activities by maintaining records, tracking documentation, and responding to audit requests under HR leadership direction.
  • Assists with documentation retention and preparation for internal or external reviews.

Standard Operating Procedures & Internal Communications

  • Documents and updates existing standard operating procedures for assigned administrative processes under the director of HR leadership.
  • Creates signage as needed and maintains the HR Bulletin Board

Departmental Support

  • Schedules monthly HR department meetings, including requesting agenda items, organizing the agenda, room scheduling, and meeting set-up and break-down. Records minutes from monthly meetings and provides to the HR department.
  • Assists the Human Resources team with special projects

Perform other related tasks, duties and responsibilities as required, assigned or directed.

Education and/or Experience:

  • High School diploma required; Bachelor’s degree preferred.
  • At least one (1) year of HR or administrative experience supporting HR or business operations, or an equivalent combination of education, training and/or experience from which comparable knowledge, skills and abilities have been attained.

  • Demonstrate reliability, dependability, and strong organizational skills
  • Pay close attention to detail and follows established procedures

  • Handles sensitive and confidential information with discretion and professionalism.
  • Demonstrates sound judgement in identifying issues and escalating appropriately
  • Proficient in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, Forms, and SharePoint.

Supervisory Responsibilities:

This position does not have any supervisory responsibilities.

Hybrid Eligible:

Yes – subject to institutional policy and operational needs

Compensation: The expected hiring rate for this position is $25 - $28/hour commensurate with experience.
