This in-office position works closely with the Director of Accounting & Finance and the Billing & Systems Manager to support the firm's accounting operations, financial administration, practice management systems, and billing functions. The ideal candidate is highly detail-oriented, organized, and technologically proficient, with an interest in both accounting and legal practice management.

Key Responsibilities
Accounting & Finance Responsibilities
- Support accounts payable functions, including processing vendor invoices and certified charges
- Enter daily cash receipts into Centerbase, Firm’s practice management software
- Perform initial reconciliation of office credit card transactions
- Support the firm's collections process by monitoring accounts receivable aging, reviewing outstanding balances, maintaining collections records, preparing reports, and coordinating follow-up communications with attorneys and clients to facilitate timely payment of invoices
- Maintain accurate financial records and organized filing systems
- Provide backup support for processing, and depositing checks
Systems & Practice Management Responsibilities
- Assist with the client intake process, including matter setup, and related administrative follow-up
- Review matters in Centerbase on a weekly basis to ensure accuracy and identify necessary updates
- Review and close inactive client matters on a monthly basis
- Assist with Centerbase data maintenance, user support, troubleshooting, and system related projects
- Support data audits and maintain documentation for accounting, billing, and practice management processes
Billing
- Support the monthly billing process, including the preparation, review, and finalization of client invoices
- Serve as backup to the Billing & Systems Manager during billing cycles and attorney invoice review periods
Administrative Support
- Provide general administrative support to the Director of Accounting and Finance
- Assist with special projects and operational initiatives
- Perform general office support duties, including processing certified mail, handling post office runs, maintaining filing systems, and scanning, filing, and digitizing documents as needed
- Bachelor’s degree required
- Experience with Centerbase or similar legal practice management software strongly preferred
- 1-3 years of experience in legal billing, accounting, finance, practice management, or administrative operations within a law firm, accounting firm, financial services firm, or other professional services organization preferred
- Strong organizational, time management, and problem-solving skills
- Demonstrates initiative, reliability, and a positive, professional attitude
- Ability to prioritize competing demands and adapt in a fast-paced environment
- Proficiency with Windows-based software and Microsoft Word, Excel, and Outlook required
- Ability to handle confidential and sensitive information with discretion and professionalism
- Strong proficiency in Microsoft 365 applications, particularly Excel, including the ability to create, maintain, and analyze spreadsheets and financial data
