Job Title: Operations & Billing Assistant

Our team works closely with families to deliver compassionate, evidence-based care that improves lives.Position Overview:The Operations & Billing Assistant plays a vital role in supporting Fiesta Health’s daily administrative, operational, and billing functions. In this role, you will support backend systems, manage billing workflows, assist with insurance coordination, and contribute to the smooth operation of our clinic services. You will be responsible for managing invoicing and payment tracking, maintaining accurate financial records, and coordinating internal processes to ensure efficiency and compliance.This role will also ensure operational accuracy across our platforms, assist with diagnostic scheduling, maintain parent communications, and support cross-departmental collaboration. The Operations & Billing Assistant provides consistent, high-quality operational support to both internal teams and client families.Please note: This is a remote position based in Georgia, USA. Key ResponsibilitiesBilling & Insurance
- Track and log “Ready to Bill” approvals across all business units accurately and on timeMonitor and manage billing system entries in our database Coordinate insurance updates with our providers and maintain clear communication recordsAssist in obtaining and maintaining service authorizations from payorsCommunicate billing updates and issues to upper managementPrepare utilization reports and assist in audit preparationLead and support insurance audits and updates as neededMaintain up-to-date liability and insurance documentation
- Review Database entries for data accuracy and SOP complianceEnsure all internal systems and databases are updated and maintained accuratelyProvide regular reports and operational updates to the Director of OperationsDevelop, document, and maintain Standard Operating Procedures (SOPs)Execute day-to-day operational tasks across departmentsSupport ongoing projects and cross-functional initiatives
- Manage accounts payable, including processing payments and tracking expensesPrepare and maintain reports related to operations, billing, accounting, and audits
- Participate in weekly billing and team callsJoin internal leadership meetings as a note-taker and follow-up trackerSupport credentialing processes for clinical staffAssist with scheduling and follow-up for Diagnostic Progress ReviewsCoordinate parent communications, including onboarding, handbooks, and consent forms.Perform other administrative or operational duties as assignedAssist with the day-to-day operations of successful authorizations and credentialing
