Job Description

Community Outreach Coordinator

As the Kootenai Health Community Outreach Coordinator you will plan, organize and conduct all in-person outreach activities, including health fairs, health risk screenings, and community health initiatives sponsored by or representing Kootenai Health (KH), Kootenai Clinic (KC) and all sub-brands.

You will also support clinical outreach activities required to maintain clinical accreditations, including but not limited to Commission on Cancer, Trauma Designation, Stroke, STEMI, and Safe Sleep. This position receives and processes sponsorship requests and makes recommendations to the oversight committee in alignment with organizational, outreach, sponsorship, and marketing objectives.

What you will do:

• Works closely with the Government and Community Relations Manager, Marketing and Communications Department, and Strategy Division to identify and align work to support strategic and community outreach priorities.
• Independently researches, recommends, and plans events to meet outreach objectives by showcasing KH, KC, and select providers’ services
• Develops an annual sponsorship plan to meet organizational and outreach objectives
• Plans and executes complex events, managing each event from start to finish; includes establishing objectives in alignment with outreach and marketing priorities, planning tasks, organizing resources and processes, communicating with stakeholders, maintaining appropriate documentation, and capturing and reporting results. Events range from on-site community education events, sports physical drives, group presentations and class tours of the hospital; to off-site screening events, promotional booths, health fairs, health awareness campaigns, first aid tents, ribbon cuttings, and more.
• Ensures outreach events, activities, and materials align with brand standards and builds a positive, professional reputation for the organization and providers in the community
• Strategically coordinates appropriate leaders, board members, staff members, providers and subject matter experts’ presence at select events
• Recruits volunteers for off-site events, and works collaboratively with the Spirit of Kootenai Health Committee and the MyHealth team to promote and properly record volunteerism
• Works collaboratively with the Kootenai Health Foundation to identify and strategically solicit marketing and outreach partnerships
• Works in collaboration with the Kootenai Health communications and marketing team to manage the speakers bureau, responding to requests for speakers, securing speaking opportunities to promote strategic topics to regional groups, and adequately preparing speakers
• Tracks Kootenai Health leader placement on community boards and works to ensure Kootenai is represented on boards with strategic value to Kootenai Health
• Under direction of leadership, provides oversight of KH’s annual community promotion budget, including strategically selecting and procuring branded items, and thoughtfully crafting auction items and raffle baskets for community events to raise funds and awareness for critical community causes
• Under direction of leadership, provides oversight of KH’s annual community sponsorship budget; receives sponsorship requests, schedules community sponsorship meetings, makes recommendations based on sponsorship criteria, organizational priorities, and budget, and processes approved and declined requests
• Works with external vendors to complete the Vendor Packet and provide all requisite materials to AP to ensure payment.
• Facilitates Kootenai Health leader participation in community events, including preparing them with background information and talking points, to ensure a positive organizational presence in the community
• Tracks and reports community benefit for the KH Annual Report
• Coordinates KC Cancer Services outreach and provider education activities required by the American College of Surgeons (ACS) for accreditation
• Works closely with service lines conducting outreach to meet program accreditation requirements and reports to select oversight committees quarterly
• Develops and maintains relationships and partnerships with national and regional health organizations, to provide local and regional health screenings
• Facilitates relationships with local chambers of commerce, the economic development council and other business membership organizations to ensure membership benefits and marketing opportunities are fulfilled and maximized
• Works collaboratively with local schools and their respective athletic programs to foster good relations, maximize exposure, and leverage opportunities for wellness initiatives for athletes and students, as well as coaches and teachers
• Works collaboratively with Human Resources to identify recruitment opportunities at community events
• Works with internal stakeholders and marketing leadership to develop appropriate promotional materials for outreach activities
• Excellent time management and the ability to balance multiple events and priorities
• Travels by personal vehicle (with mileage reimbursement in alignment with current KH policy) to outreach activities and transports supplies
• Meet requirements to drive Kootenai Health vehicles to transport materials for events

What you will bring!

• Bachelor’s degree in communications, marketing, business administration, health care management, public relations or related field preferred
• Minimum 2 years’ experience in outreach, marketing, public relations or public contact work required; health care experience preferred
• Must have a valid driver’s license with proof of insurance
• Experience planning, managing and executing special events preferred
• Proficient using Microsoft programs such as Word, PowerPoint, Excel, OneDrive and Teams
• Flexibility to adjust to varying schedule required, including evening and weekend events

Working Conditions

• Must be able to lift and move up to 50 lbs
• Must be able to reach arms above or below shoulder height
• Travel required on a regular basis to assigned work sites
• Must be able to maintain a standing and/or sitting position
• Typical equipment used in an office setting
• Repetitive movements
