Job Title: Event Support Specialist

Employment Type: Full Time, 40 hours/week

Reports to: Vice President of Life Surge Events

FLSA Status: Exempt

Opportunity

The Event Support Specialist serves as a key support role within the Event Operations team, helping drive seamless coordination across event logistics, travel, contractor onboarding, staffing support, communications, budgeting support, and vendor coordination. This role is highly collaborative and requires exceptional organization, responsiveness, and the ability to manage multiple priorities in a fast-paced live event environment.

Responsibilities

  • Serve as a key operational support resource for the Events team, assisting with administrative coordination, logistics, communication, and execution support.
  • Support onboarding and documentation workflows for contractors and event personnel.
  • Coordinate contractor communications, scheduling support, and availability tracking.
  • Assist with travel logistics including flights, hotels reservations, rental vehicles, and itinerary coordination.
  • Maintain event staffing records, onboarding materials, and operational trackers.
  • Support communication between contractors, vendors, and internal departments to ensure compliance with company policies and procedures.
  • Coordinate temporary staffing support and event labor communication as needed.
  • Assist with staffing logistics, scheduling, and event-day operational support.
  • Communicate event expectations, arrival instructions, and operational updates to staffing partners and crew members.
  • Support event leadership with staffing coordination and administrativelogisticsbefore, during, and after events.
  • Assist with hotel research, rooming lists, and travel coordination for staff and contractors.
  • Coordinate communication with hotel partners regarding arrivals, logistics, parking, and operational needs.
  • Support travel budgeting, expense tracking, and invoice reconciliation processes.
  • Assist with expense processing, invoice tracking, and budget documentation for events and operational activities.
  • Maintain accurate records within company systems and support vendor setup/payment workflows.
  • Support reporting, document management, and operational tracking across multiple events and departments.

Qualifications

  • High school diploma required.
  • A minimum of one to three years of related experiencerequired.
  • Excellent verbal and written communication skills.
  • Strong organizational and operational coordination skills.
  • Ability to manage multiple projects andshiftingpriorities simultaneously.
  • Strong communicationand follow-through in fast-paced environments.
  • Experience supporting live events, travel coordination, staffing logistics, or operations preferred.
  • Proficiencyin Microsoft Office Suite and operational platforms such as SharePoint, Asana, Concur, Coupa,MasterTouror similar systems preferred.
