About the Role
We are seeking a dependable and detail-oriented Accounting Specialist to keep our office operations organized and efficient. The Accounting Specialist is responsible for managing incoming payments, maintaining accurate financial records, and supporting the company’s credit management process. This role includes coordinating and tracking customer credit applications to ensure timely approvals and minimizing financial risk.
Key Responsibilities
  • Generate and send accurate invoices and statements to customers in a timely manner.
  • Track and reconcile open and closed repair orders
  • Record and reconcile incoming payments in the accounting system.
  • Monitor accounts to identify outstanding debts or payment delays.
  • Follow up with clients to ensure prompt collection of receivables.
  • Maintain up-to-date records of all customer payments and account statuses.
  • Investigate and resolve billing discrepancies and disputes.
  • Prepare regular reports on accounts receivable status, aging, and cash receipts.
  • Collaborate with the sales and finance teams to resolve payment or invoicing issues.
  • Assist in month-end and year-end closing processes related to AR.
  • Support audit and compliance requirements when necessary.
  • Send credit applications to new customers and ensure all required documentation is provided
  • Track the status of credit applications from submission through approval or denial
  • Follow up with customers and sales team to obtain missing or incomplete information
  • Coordinate with internal departments (e.g., sales, finance) to facilitate credit decisions
  • Maintain organized records of all credit applications and approvals
  • Assist in evaluating customer creditworthiness when needed

Qualifications
  • 7–10 years of experience in accounting or financial roles
  • Strong understanding of accounting entries, processes, and financial reporting
  • In-depth knowledge of Generally Accepted Accounting Principles (GAAP)
  • Hands-on experience with accounting software systems
  • Proficiency in Microsoft Office Suite
  • Ability to manage multiple priorities and meet deadlines
  • Exceptional attention to detail and accuracy
