Position Summary:

The Human Resources Coordinator is responsible for supporting all aspects of the employee lifecycle, including recruitment, onboarding, employee relations, compliance, HRIS management, training coordination, and HR administration. This role serves as a trusted resource for employees and managers while ensuring HR processes are accurate, compliant, and aligned with company standards. The Human Resources Coordinator will support multiple hospitality properties within the Rupal Hospitality portfolio and work closely with executive leadership, General Managers, and department leaders.

Essential Duties and ResponsibilitiesRecruitment & Onboarding
  • Coordinate job postings across multiple recruiting platforms.
  • Screen resumes and coordinate interviews with hiring managers.
  • Prepare offer letters, employment agreements, and new hire paperwork.
  • Complete Form I-9 verification and employment eligibility documentation.
  • Coordinate background checks and pre-employment screenings.
  • Conduct new hire orientation and onboarding.
  • Maintain complete and accurate employee personnel files.
  • Ensure onboarding processes comply with company standards and timelines.
  • Support seasonal hiring initiatives across the hospitality portfolio.
Benefits Administration
  • Process benefit changes resulting from qualifying life events.
  • Respond to employee questions regarding benefits.
  • Maintain benefit enrollment records and reconcile invoices.
  • Coordinate COBRA notifications and related documentation when applicable.
Employee Relations
  • Serve as a primary point of contact for employee HR-related questions.
  • Assist with employee investigations and maintain supporting documentation.
  • Track attendance, disciplinary actions, and employee performance documentation.
  • Maintain strict confidentiality of employee information.
  • Support employee recognition programs and engagement initiatives.
  • Coordinate company events and employee appreciation activities.
Compliance
  • Ensure compliance with federal, state, and local employment laws and regulations.
  • Maintain OSHA documentation and workplace safety records.
  • Track required employee certifications and mandatory training.
  • Maintain EEO, ACA, I-9, and other required employment records.
  • Assist with internal and external HR audits.
  • Update employee handbook and HR policies as directed.
  • Monitor labor law postings across all company properties.
HRIS & Recordkeeping
  • Maintain employee information within the HRIS and payroll systems.
  • Ensure employee records remain accurate, current, and secure.
  • Generate HR reports, dashboards, and workforce metrics.
  • Track turnover, vacancies, recruiting activity, and staffing metrics.
Training & Performance Management
  • Coordinate mandatory employee training programs.
  • Maintain employee training records.
  • Assist with annual performance review administration.
  • Monitor compliance with Marriott, IHG, New York State, and company-required training.
Hospitality-Specific Responsibilities
  • Coordinate onboarding for employees across the Rupal Hospitality portfolio.
  • Assist General Managers with staffing reports and workforce planning.
  • Track uniform issuance and employee acknowledgments.
  • Support workers' compensation claims administration.
  • Respond to and coordinate unemployment claims.
  • Assist with labor compliance initiatives at all company properties.
Administrative Responsibilities
  • Maintain HR calendars, deadlines, and compliance schedules.
  • Order HR and office supplies.
  • Prepare employment verification letters.
  • Assist with HR projects and organizational initiatives.
  • Support executive leadership with confidential HR matters and special projects.
