POSITION SUMMARY
The HR Onboarding Specialist owns the new hire experience — ensuring every New Hire steps into their first day fully prepared, compliant, and set up for success. This role is the bridge between hire and first day, delivering a seamless, welcoming onboarding journey that reflects the best of who we are.

ROLE RESPONSIBILITIES
What you'll lead and own as an - HR Onboarding Specialist -
• Coordinate and host New Hire Orientations, creating a warm, professional first impression for every incoming Employee
• Serve as the primary point of contact for New Hires throughout the onboarding process, answering questions and removing barriers to a strong and on-time start
• Drive forward New Hire onboarding tasks, background check authorizations, and pre-employment requirements with speed and accuracy
• Physically verify identification documents and complete I-9 forms for all new hires in full compliance with federal requirements
• Ensure only fully background-checked and trained Employees are cleared for active work
• Maintain accurate New Hire records, Employee demographic data, and onboarding tracking reports and metrics, creating recommendations for efficiency gains and process improvements.
• Survey New Hires post-orientation and partner with HR leadership to continuously improve the onboarding experience
ROLE QUALIFICATIONS
• Experience in HR, onboarding, recruiting coordination, or training administration preferred
• Highly organized with excellent attention to detail and accurate record-keeping practices
• Comfortable presenting to and facilitating groups during New Hire Orientation sessions
• Committed to compliance, HIPAA standards, and handling confidential information with discretion
• Proactive communicator with a warm, professional presence and a service-first mindset
• Able to manage multiple priorities and deadlines in a fast-paced environment
• Proficient in Excel, Microsoft Outlook, PowerPoint, and Word
• Experience in home care, healthcare, or a regulated industry a bonus

Requirements:- Proactive, solution-oriented self-starter who takes initiative and works independently

- Strong commitment to compliance, including knowledge of HIPAA best practices for handling PHI
- Administrative experience in a related specialty such as accounting, customer service, scheduling, billing, IT, project management, sales, marketing, business development, staffing, recruiting, care coordination, compliance, office or business management, human resources, or operations
- Background in senior care, assisted living, skilled nursing, or in-home care
