What You’ll Be Doing

The Exchange Officer is responsible for managing the full lifecycle of Section 1031 exchange transactions, ensuring regulatory compliance, and delivering a high level of service. This role leads the strategic and operational execution of exchange activities and provides oversight and support to Exchange Coordinators and Exchange Assistants. The Exchange Officer serves as a subject matter expert and liaison between exchangers, their advisors, and internal stakeholders to facilitate a smooth and compliant exchange. The Exchange Officer reports to the Executive Vice President concerning exchange volume, leads generated by incoming calls, operational matters/efficiencies and assigned marketing/promotion tasks.
Exchange Management
- Oversee all aspects of the exchange process which includes:
- Exchanger and referral source intake.
- Exchange structuring
- Exchange file and process oversight
- Handle issues that may arise with exchanges
- Collaborate with exchangers and their advisors (e.g., attorneys, CPAs, real estate agents) to structure exchanges properly.
- Assign files to Exchange Coordinators and provide ongoing oversight and support.
- Ensure compliance with federal and state exchange laws.
Team Leadership & Oversight
- Supervise and mentor Exchange staff, conduct weekly review meetings to ensure accuracy, compliance, and service standards.
- Provide support to other Exchange Officers as needed.
- Maintain operational efficiency and continuously seek improvements in process and service delivery.
Regulatory & Legal Compliance
- Maintain up-to-date knowledge of exchange laws.
Administrative & Other Duries
- Ensure confidentiality and data security for all exchange files and client information.
- Accurately complete documentation and file management within required timeframes.
- Other duties as assigned by executive leadership.

- Maintain 100% confidentiality and data integrity.
- Ensure 100% accuracy of all transaction documents.
- Provide timely, clear, and professional communication with all stakeholders.
- Demonstrate ongoing commitment to learning and compliance.
Education & Experience
- Juris Doctor (JD) or Certified Public Accountant (CPA) required.
- Minimum of five (5) years of experience in legal or tax.
Skills & Competencies
- Strong leadership, problem-solving, and decision-making skills.
- Excellent communication and interpersonal abilities.
- High attention to detail and accuracy in documentation.
- Advanced knowledge of Microsoft Office Suite and exchange-related software tools.
- Ability to manage multiple transactions with competing deadlines.
