This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Associate Manager - Attendee Experience based in the United States.
This role provides people leadership and operational oversight within an Attendee Experience team supporting meetings and events.
You will coach and develop team members while helping establish clear goals, strong performance standards, and opportunities for career growth.
The position combines team management, client service, financial awareness, training, and process improvement in a fast-moving event environment.
You will collaborate across departments and with customers and vendor partners to ensure teams have the tools and knowledge needed to deliver exceptional experiences.
A strong focus on technology and AI will help streamline workflows, improve efficiency, and identify opportunities for innovation.
The role also contributes to recruitment, onboarding, operational training, business reviews, and company-wide initiatives.
With approximately 10–15% domestic and international travel, this is an opportunity to make a visible impact both remotely and at live events.
- Team Leadership: Manage a portion of the Attendee Experience team through clear direction, consistent expectations, timely feedback, coaching, and performance management.
- Mentoring & Development: Support direct reports through structured coaching sessions, career planning, project reviews, recognition, issue resolution, and identification of growth opportunities.
- Cross-Functional Collaboration: Partner with internal departments, leadership teams, customers, and vendor partners to align priorities and deliver high-quality attendee and client experiences.
- Technology & Innovation: Leverage AI-powered tools, emerging technologies, and company software to improve operational efficiency, streamline workflows, enhance experiences, and identify opportunities for continuous improvement.
- Process Improvement: Help identify operational gaps, develop and document improved processes, and support training to ensure consistent execution across the team.
- Training & Onboarding: Assist with new-hire onboarding, hands-on training, onsite expectations, and ongoing individual and group development programs.
- Recruitment: Support hiring activities, including phone and in-person interviews, as needed.
- Event Operations: Provide lead Attendee Experience services for meetings when applicable and support onsite staffing and training.
- Financial Management: Collaborate with Finance to monitor team performance, timeliness, and accuracy while maintaining a strong understanding of financial processes and, where applicable, pharmaceutical clinical meeting compliance requirements.
- Client & Stakeholder Support: Work with Customer Success and Event Experience leadership to understand expectations and ensure team members have the resources and skills to exceed them.
- Industry Development: Stay current on meetings and event industry trends through publications, webinars, courses, networking, and external training opportunities.
- Organizational Contribution: Participate in company-wide meetings, leadership development programs, and organizational objectives such as OKRs.
- Travel & Onsite Support: Travel approximately 10–15% domestically and internationally when needed for onsite staffing, training, meetings, and event execution.
- Education: College degree or equivalent professional experience.
- Industry Experience: 2–5 years of experience in the meetings and events industry, specifically in operations.
- People Management: At least 1 year of direct people management experience is preferred.
- Event Expertise: Knowledge of virtual and hybrid event formats and an understanding of event operations and onsite execution.
- Communication: Excellent written and verbal communication skills in both internal and client-facing settings.
- Project Management: Demonstrated ability to manage multiple projects simultaneously, prioritize effectively, and maintain high-quality execution under pressure.
- Resourcefulness: Ability to produce creative, high-quality outcomes within constrained timelines while making effective use of available resources.
- Technology: Proficiency with Microsoft Office applications, including Outlook, Excel, OneNote, Word, and PowerPoint.
- Database Skills: Experience with database management platforms; Cvent experience is preferred.
- Remote Collaboration: Experience working effectively in a virtual or distributed office environment is a plus.
- Leadership Qualities: Strong emotional intelligence, collaboration skills, accountability, adaptability, and commitment to a positive learning environment.
- Travel & Physical Readiness: Willingness and ability to travel for events and perform occasional onsite activities such as standing, walking, lifting or carrying event materials, and working extended event days when required.
