Job Description
JOB OVERVIEW: Under direct supervision, the Administrative Assistant performs a variety of administrative duties and provides support to ensure the efficient operation of the office.
Key Responsibilities |
Answers incoming calls, performs phone screening, and forwards to the appropriate personnel. Provides callers with information about the organization, including address and directions. |
Performs a variety of administrative tasks, including managing calendars, coordinating meetings, preparing reports, and handling correspondence. |
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. |
Prepares, edits, and formats documents, reports, presentations, and spreadsheets with a high degree of accuracy and attention to detail. |
Assists in planning and coordinating projects, ensuring deadlines are met and deliverables are completed to company standards. |
Inputs, updates, and maintains accurate records and databases, ensuring data integrity and confidentiality. |
Coordinates company events, meetings, and conferences, including logistics, catering, and materials preparation as requested. |
Provides excellent customer service, acting as a point of contact for internal and external stakeholders, addressing inquiries and resolving issues promptly. |
Arranges travel and accommodations for staff, ensuring all bookings are efficiently managed, as requested. |
Maintains efficient operation of front desk and lobby. |
Receives, sorts, and routes incoming mail and publications. |
Maintains phone directory, distribution lists, and conference room schedules. |
May perform Escrow and/or Title Assistant functions, including opening orders. |
Performs other duties as assigned. |
Minimum Qualifications | |
Education: | High school diploma or equivalent required. |
Experience: | 1 year of relevant experience. |
