Job Description

The Executive Assistant plays a pivotal role in supporting HR leadership through a hybrid of executive administrative excellence and strategic project management. This role is designed to elevate traditional administrative duties by integrating transformation initiatives, data storytelling, and visual communication into the daily rhythm of HR operations.

Transformation & Project Management

  • Serve as a project manager for HR transformation initiatives, including the HR Journey roadmap.
  • Manage scorecards, timelines, and deliverables across multiple workstreams.
  • Facilitate cross-functional meetings and track action items and outcomes.
  • Support change management efforts and stakeholder engagement.
  • Create and manage HR Team SharePoint site

Data & Communication

  • Curate and present people data insights through compelling storytelling.
  • Develop high-quality visual presentations for executive meetings and strategic reviews.
  • Coordinate internal communications related to HR strategy and transformation.

Executive Administrative Support

  • Provide executive-level support to HR leadership (VPs), including calendar management, travel coordination, and meeting logistics.
  • Prepare briefing materials, agendas, and presentations for leadership meetings.
  • Maintain confidentiality and professionalism in all interactions.

Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:

  • Completing other job-related duties and projects as assigned.

ORGANIZATIONAL RESPONSIBILITIES

Associate complies with the following organizational requirements:

  • Attends and participates in department meetings and is accountable for all information shared.
  • Completes mandatory education, annual competencies and department specific education within established timeframes.
  • Completes annual employee health requirements within established timeframes.
  • Maintains license/certification, registration in good standing throughout fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience

  • The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a high school diploma or equivalent and a minimum of one year of additional training in office procedures, business and computer skills. Minimum of five to seven years of progressively responsible secretarial experience in an administrative or higher level secretarial position, through which knowledge of policies, procedures, and operations, development of administrative skills, and knowledge required to exercise discretion and independent judgment were obtained, is required.

Knowledge & Skills

  • Proven experience in project management, preferably within HR, related fields, or organizational transformation.
  • Strong administrative background supporting senior executives and/or projects.
  • Exceptional communication and presentation skills.
  • Proficiency in design tools (e.g., PowerPoint, Canva, Adobe) for visual storytelling.
  • Ability to manage multiple priorities in a fast-paced environment.

Working Conditions

  • Works in an office environment.

Physical Demands

  • Requires the physical ability and stamina to perform the essential functions of the position.
