Job Description

About the Position

We are looking for a responsible, friendly, and hands-on Guest Services Supervisor to help lead our front-office operations and create a welcoming experience for our guests.

This role is ideal for someone who enjoys working with people, thrives in a fast-paced hospitality environment, and can balance excellent guest service with the day-to-day operational needs of a busy hostel.

The Guest Services Supervisor will work closely with management to ensure smooth daily operations, maintain high guest satisfaction, and support staff and volunteers.

Key Responsibilities

Guest Experience

  • Welcome guests and provide a friendly, professional experience throughout check-in and check-out.
  • Assist guests promptly and courteously, both in person and through online communication channels.
  • Manage guest communications through the PMS and other booking platforms.
  • Respond to guest questions, requests, and concerns in a timely and helpful manner.
  • Handle guest complaints professionally and take appropriate action to resolve concerns.
  • Assist with special guest requests and reasonable accommodations.
  • Help foster a friendly, welcoming, inclusive, and respectful atmosphere throughout the hostel.

Front Office & Daily Operations

  • Supervise front-office activities and help ensure a consistently high level of guest service.
  • Support the daily operational workflow of the hostel.
  • Ensure front-office tasks are completed accurately, efficiently, and on schedule.
  • Assist with room assignments and balancing rooms to support efficient occupancy and daily operations.
  • Conduct routine property checks and report cleanliness, maintenance, safety, or operational issues to management.
  • Follow established operational procedures and company standards.

Guest Policies & House Rules

  • Enforce guest policies, house rules, safety requirements, and operational procedures consistently and fairly.
  • Address guest policy violations appropriately and escalate serious or repeated issues to management.

Staff & Volunteer Support

  • Provide day-to-day guidance and support to hostel staff and volunteers.
  • Help train new staff and volunteers on hostel procedures and guest-service standards.
  • Assist with volunteer scheduling and coordination based on operational needs.
  • Monitor attendance, performance, and adherence to hostel policies.
  • Communicate operational updates, expectations, and important information during shift handovers.
  • Promote teamwork, accountability, professionalism, and a positive working environment.

Cash, Purchasing & Administrative Duties

  • Follow company procedures regarding cash handling, refunds, discounts, complimentary accommodations, credits, and other guest financial transactions.
  • Handle routine operational purchases within established company guidelines and spending limits.
  • Maintain accurate records and documentation.
  • Assist with expense, petty cash, and inventory-related tasks as assigned.

Maintenance, Safety & Emergencies

  • Coordinate routine maintenance requests and communicate issues to management.
  • Follow established emergency, fire, safety, security, and evacuation procedures.
  • Respond appropriately to emergencies and significant incidents involving guests, staff, volunteers, or the property.
  • Promptly notify management of serious incidents, injuries, security concerns, property damage, or situations requiring emergency assistance.
  • Complete appropriate incident reports and documentation.

Guest Reviews & Community Experience

  • Encourage guests to provide reviews on Google and applicable booking platforms.
  • Provide excellent guest service and help identify opportunities to improve guest satisfaction.
  • Support hostel events, activities, and community-building initiatives.
  • Help create a welcoming and social environment for guests and volunteers.
Qualifications & Skills
  • Previous experience in hospitality, guest services, front-office operations, or a similar customer-service role preferred.
  • Strong communication and interpersonal skills.
  • Friendly, professional, and approachable personality.
  • Ability to remain calm and professional when handling guest concerns or challenging situations.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a busy environment.
  • Comfortable using computers, reservation systems, and online communication platforms.
  • Reliable, responsible, and able to work independently when necessary.
  • Comfortable working as part of a team and supporting staff and volunteers.
  • Ability to work a flexible schedule, including weekends, holidays, evenings, and other shifts as operational needs require.
