Accountabilities:

The Payment Operations Associate supports daily business operations by managing payment workflows, resolving account issues, and ensuring accurate documentation throughout the settlement process. This role requires strong coordination skills, attention to detail, and the ability to communicate effectively with multiple stakeholders.

  • Manage daily settlement pipelines, payment setup processes, and exception reporting to ensure accurate and timely payment execution.
  • Communicate with creditors, agencies, law offices, and external partners through phone and email to resolve payment exceptions and outstanding issues.
  • Collect and validate required documentation needed to successfully process payments and maintain accurate client records.
  • Request and verify proof of payment from relevant third parties and ensure payment activity is properly documented.
  • Review banking ledger information to determine fund availability and confirm sufficient balances for operational requirements.
  • Maintain accurate client account documentation by scanning, organizing, and attaching files within customer relationship management systems.
  • Respond to internal and external requests by maintaining strong knowledge of operational procedures and department activities.
  • Support administrative tasks including correspondence preparation, proofreading, data entry, and document management.
  • Prioritize multiple assignments, adapt to changing business needs, and complete special projects as required.
  • Investigate escalated issues with accuracy while maintaining a high level of professionalism and customer focus.
Requirements:

The ideal candidate brings strong administrative, analytical, and communication skills, with experience supporting financial, operational, or customer-focused processes. Success in this role requires reliability, organization, and the ability to work effectively in a collaborative remote environment.

  • Bachelor’s degree preferred, or 3–5 years of relevant professional experience in operations, administration, finance, or a related field.
  • Advanced proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, with the ability to quickly learn new systems.
  • Experience with Salesforce or similar customer relationship management platforms preferred.
  • Strong attention to detail with excellent organizational and problem-solving abilities.
  • Outstanding written and verbal communication skills with professional phone etiquette.
  • Ability to manage competing priorities, meet deadlines, and remain accurate in a fast-paced environment.
  • Proven ability to collaborate effectively with individuals across different teams, management levels, and working styles.
