Your Role in Our Journey
Wine Enthusiast Media is looking for a Temporary Media Operations Assistant to provide entry-level support for our Media Operations team. This role is designed for a motivated individual looking to begin or grow their career in media, advertising, and client services. You will work closely with the Client Services, Digital Advertising, and Sales teams to support advertising campaigns, coordinate projects, and assist with the day-to-day operations that keep our media business running smoothly.
This role offers a unique opportunity to develop strong organizational and project coordination skills while working in a dynamic, collaborative, and fast-paced environment. The ideal candidate is detail-oriented, proactive, embraces process, and enjoys keeping multiple projects organized. They are eager to learn, work efficiently, and adapt quickly as priorities shift. Strong verbal, written, and interpersonal communication skills are essential, as this role works closely with several internal teams. Since this is a hybrid position, consistent communication and collaboration are critical to success. The ideal candidate is a self-starter who can manage multiple priorities simultaneously and consistently deliver accurate, high-quality work on time.
What You'll Be Uncorking
Key Responsibilities:
- Provide administrative support to the Client Services, Digital Advertising, and Sales teams.
- Assist with coordinating advertising campaigns across print, digital, social media, email, podcast, video, and event platforms.
- Track project timelines and deadlines to help ensure campaigns stay on schedule.
- Collect, organize, and distribute creative assets and client materials.
- Assist with reviewing creative submissions to ensure required assets and specifications have been received.
- Update internal tracking documents, project management tools, and campaign status reports.
- Prepare campaign materials, presentation decks, and recap documents for internal and client meetings.
- Support the sales team by gathering campaign information, inventory availability, and advertising materials as needed.
- Coordinate with internal departments to help facilitate campaign launches and ensure deliverables are completed on time.
- Maintain organized campaign documentation and file management across shared platforms.
- Provide general administrative support, including scheduling meetings, taking meeting notes, and assisting with special projects as assigned.

Qualifications:
- 1–2 years of professional experience in an administrative, coordinator, client services, marketing, advertising, or project support role preferred (internship experience considered).
- Exceptional organizational skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Comfortable managing multiple projects and shifting priorities in a fast-paced environment.
- Proficiency with Google Workspace (Docs, Sheets, Slides, Drive) and Microsoft Office.
Preferred Qualifications:
- Experience with project management platform Monday.com or similar system.
- Familiarity with digital advertising, publishing, or media.
- Bachelor's degree (or equivalent experience) in Marketing, Communications, Business, or a related field.
This position offers a flexible hybrid schedule, up to 29 hours per week requiring employees to be onsite at our Valhalla, NY headquarters a minimum of twice a week.

The pay range for this role is:
24 - 27 USD per hour(200 Summit)
