Job Description
Human Resources Specialist
Medical Office / Healthcare Administration
We are seeking an experienced and professional Human Resources Specialist to join our growing medical practice. The ideal candidate will have prior HR experience in a healthcare or medical office setting and be knowledgeable in all aspects of employee relations, recruitment, onboarding, benefits administration, and HR compliance. This individual will play a key role in supporting both clinical and non-clinical staff while helping maintain a positive, organized, and compliant workplace environment.
Responsibilities:
- Manage the full recruitment process for both clinical and non-clinical positions, including:
- Posting job advertisements
- Reviewing resumes
- Conducting phone screens and interviews
- Coordinating hiring decisions
- Performing reference checks
- Oversee employee onboarding and offboarding processes, including:
- New hire paperwork
- Orientation and training coordination
- Benefit enrollment
- Employee separations and terminations
- Administer employee benefits, including health insurance, PTO tracking, leave requests, and employee questions regarding coverage and eligibility
- Process and correct employee timecards, attendance records, PTO balances, and payroll-related issues
- Maintain employee personnel files and ensure HR documentation remains accurate, confidential, and compliant
- Handle employee relations matters professionally and confidentially, including:
- Workplace concerns
- Performance issues
- Conflict resolution
- Disciplinary documentation
- Assist management with HR policies, procedures, and compliance with federal, state, and healthcare employment regulations
- Coordinate employee trainings, performance evaluations, and compliance-related documentation
- Support leadership with staffing needs, workforce planning, and retention initiatives
Maintain knowledge of healthcare hiring standards, credentialing requirements, and medical office workflows
- Ensure compliance with HIPAA, labor laws, and company policies
- Anything else asked of you by the Practice Manager
Qualifications:
- Minimum of 2–3 years of Human Resources experience required
- Prior experience working in a medical office, healthcare setting, or behavioral health practice required
- Experience hiring for both clinical and non-clinical healthcare positions required
- Strong knowledge of onboarding, employee relations, benefits administration, payroll/timecard corrections, and HR compliance
- Experience conducting interviews and managing the hiring process independently
- Ability to handle confidential information with professionalism and discretion
- Proficient in Microsoft Office, HR/payroll systems, and medical office software
Experience with Paychex, ADP, or similar HR/payroll platforms preferred
Preferred Qualifications:
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- HR certification (SHRM-CP, PHR, etc.) is a plus
- Experience in a fast-paced outpatient medical or psychiatry office strongly preferred
