POSITION SUMMARY:
This Fleet Operations & Systems Coordinator role is responsible for supporting the administration, compliance, and operational efficiency of the company’s vehicle fleet. This role coordinates vehicle registrations, licensing, and toll processing while supporting fleet data accuracy within the Fleet Management System. The Fleet Operations & Systems Coordinator also monitors telematics equipment, ensuring proper functionality and integration between platforms, and assists with audits and reporting. Working closely with Senior Business Analyst, Operations, and Director of Supply Chain & Facilities, this position helps ensure accurate fleet data, regulatory compliance, and seamless day-to-day fleet operations.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Register vehicles with DOT/PennDOT and coordinate timely renewals.
· Request and distribute license plates to appropriate locations.
· Maintain certain fleet data elements and input data into Dossier.
· Participate in the annual fleet audit.
· Collaborate with Senior Business Analyst, and Director of Supply Chain & Facilities to manage fleet requirements and needs.
· Process EZPass tolls by plate and ensure timely payment.
· Review and route traffic tickets and road violations to the appropriate Operations Manager and Area General Manager.
· Manage EZPass transponders, including inventory tracking and ordering replacements as needed.
· Troubleshoot Geotab OBT (on-board telematics) issues, including cameras and GPS devices.
· Ensure proper integration and data flow between Dossier and Geotab systems.
· Coordinate the deployment and delivery of new telematics equipment, including cameras and GPS units.

Requirements:QUALIFICATIONS:
· 2–3 years of experience handling vehicle titles and tag/registration processes strongly preferred.
· Strong computer literacy and skills including strong Microsoft Office skills (specifically Excel), development of spreadsheets, tracking data, and generating reports with ability and willingness to learn specific software skills to meet business objectives.
· Ability to troubleshoot basic technical issues related to telematics equipment.
· Superior organizational skills and ability to manage multiple assignments providing accurate and timely outcomes.
· Meticulous attention to detail skills.
· Professionalism in all interactions, both verbally and written, and excellent communication skills.
· Team player and ability to work with and communicate with employees in other areas of the business.
· Integrity and ability to handle confidential information.
· Valid driver's license and reliable transportation.
EDUCATION:
· Bachelor’s degree preferred, or Associate’s degree with relevant experience.
PHYSICAL REQUIREMENTS:
· Prolonged periods of sitting at a desk and working on a computer for 6-8 hours per day.
· Repetitive use of hands for writing and typing 6-8 hours per day.
· Hearing adequate for phone use and vision adequate for computer use and reading.
· Ability to lift up to 15 pounds at a time.
